A week in the life of the Associate Office Manager:



  • Greet visitors and direct visitors, customers, and vendors upon arrivals.
  • Control access of visitors, vendors, contractors and employees.
  • Ensure visitors sign in and out and notify staff of guest arrivals.
  • Support the operations of a government-owned/Contractor-operated facility in Northern Virginia hosting customers to test a suite of Electronic Healthcare Record systems.
  • Primary work hours 7am - 4pm Monday through Friday.
  • Support scheduling of visitor reservations and use of capabilities in the facility through Jira ticketing software.
  • Represent company and customer organization.
  • Write reports of daily activities and irregularities such as equipment or property damage, theft, presence of unauthorized persons, or unusual occurrences.
  • Escort cleared and uncleared personnel throughout the facility.
  • May work rotating shifts, and possible weekend support on a rare basis.
  • Monitor inventory of office supplies and support replenishment activity as needed.
  • Assisting with various administrative tasks such as filing, data entry, and maintaining records.
  • Prepare and place welcome packets or informational brochures for visitors.
  • Ensure that the facility remains supportive of the DoD Electronic Healthcare Record testing events.

Job Requirements

  • U.S. Citizenship and ability to obtain a Secret clearance
  • Onsite presence M-F at facility in Chantilly, VA
  • Outstanding personal and professional presentation
  • Minimum 1-2 years of experience with a BS/BA preferred
  • Ability to track multiple processes and facility-related tasks
  • Highly motivated self-starter
  • Experience with Microsoft tools (i.e. Excel, MS Word, PowerPoint).
  • Outstanding organizational and coordination abilities.
  • Excellent communications skills, including interacting with DoD customers, facility users, and facility support contractors.
  • Ability to prioritize and manage tasks in order to accomplish goals on a given timeline.
  • Ability to interpret, communicate, and apply operational and security procedures; ability to propose improvements to same.

AMERICAN SYSTEMS is committed to pay transparency for our applicants and employee-owners. The salary range for this position is $50,000 - $56,000. Actual compensation will be determined based on several factors permitted by law.
