Description The Legal and Risk Services Coordinator (LRC) provides support services to the Senior Counsel level attorneys and the VP, Chief Risk Officer (CRO) under the direction of the VP, Chief Risk Officer. The LRC maintains the calendar for all Senior Counsel level attorneys and the CRO, covers the departmental phone line and handles all departmental mail at the Silver Spring departmental office. The LRC also serves as the department's representative to the Inventa tenant group. The LRC responds to all requests for claims histories for insured providers, and retrieves and distributes all subpoenas and other service of process from our registered agent. The LRC triages requests for legal and risk assistance and refer callers to other departments as necessary for resolution. The LRC performs other duties as assigned to support the functions of the Department.
Qualifications Minimum Education
Bachelor's Degree (Required)

2 years (Required)

Required Skills/Knowledge
Must have excellent written and oral communication skills, must be capable of exercising sound judgment in prioritization of work.
Must be able to coordinate and project manage tasks involving multiple hospital departments.
Must have understanding of appropriate communication of sensitive information.
Proficient in the use of Word, Excel, Access and PowerPoint (MS Office).

Functional Accountabilities
Business Operations Support
  • __Submit Engagement Letters in Bear Contracts:__
  • * Prepare and submit engagement letters using the Bear Contracts software.
  • * Ensure that all necessary information is included in the engagement letters, such as scope of work, terms and conditions, and fee arrangements.
  • * Collaborate with relevant stakeholders, such as clients and legal teams, to review and finalize engagement letters.
  • * Track the status of submitted engagement letters and manage the approval process within Bear Contracts.
  • __Create and Manage New Matters in Legal Tracker:__
  • * Set up new matters within the Legal Tracker software, including entering relevant case information, client details, and assigned attorneys.
  • * Assign appropriate billing codes and cost centers to ensure accurate tracking and reporting of legal expenses.
  • * Generate reports and analytics to assess matter performance, track costs, and identify trends.
  • __Review and Reconcile Recycle Invoices in PeopleSoft:__
  • * Access the PeopleSoft system to review and reconcile recycle invoices, which may include invoices in recycling.
  • * Address any discrepancies or issues with the invoices, such as incorrect charges or missing information, and liaise with vendors or suppliers for resolution.
  • * Update invoice status and payment records in Tracker, ensuring proper documentation and financial tracking.
  • __Submit and Manage Risk Program Expenses in RL:__
  • * Utilize the RL software platform to submit expenses related to the risk program
  • * Enter expense details, including date, description, cost allocation, and supporting documentation.
  • Respond to all requests for claims histories for insured providers.
  • Retrieve and distribute all subpoenas and other service of process from our registered agent.
  • Review all of Children's National's vendor Certificates of Insurance (Accords), assessing whether each Accord is current, in compliance with that particular vendor's contractual obligated insurance lines, includes the contractually set values per each line, and incorporates all additional terms including those related to subrogation, additional insured, and deductibles.
  • Responsible for scheduling appointments and arranging meetings.
  • Organize and maintain files, following up on pending matters with limited direction and providing feedback in a timely manner.
  • Facilitate and expedite workflow; initiate follow-up action as needed.
  • Research information requests under some general guidance. Under the instruction of supervisor, may compile data elements into reports as needed.
  • Serve as Departmental representative to Inventa Tenant Group.
  • Promote the success of the General Counsel's Connection Coalition Committee; Diversity, Equity and Inclusion (DEI) Committee; Inventa Committee; and the Research, Education and Innovation Committee by providing close administrative assistance and support and attending all meetings. Responsibilities may include:

  • Utilize various software and/or learn new computer applications to meet unique work needs and improve productivity.
  • May serve as a resource to others on a variety of subjects including office equipment, software applications, and information processing procedures.
