Now hiring an Executive Assistant to support the COO! The Executive Assistant to the PHS COO plays a crucial role in helping leaders and staff throughout PHS and is responsible for performing a wide variety of complex, confidential, administrative and analytical duties. Independent judgment is also required to plan, prioritize and organize a diversified workload. This role requires qualities such as adaptability, flexibility, dependability and accountability. Some of the work may be self-appointed, and requires a high degree of professional independence, initiative and self-discipline. How you belong matters here. Ideal Candidate: High school (G.E.D.) Five to eight years experience in executive or administrative secretarial roles. Requires exceptional organizational and people skills.
Qualifications

- Five (5) to eight (8) years experience in executive or administrative secretarial roles.
- Requires exceptional organizational and people skills.
- Ability to deal with all levels of staff and management within the organization, as well as the public, under highly stressful conditions.
- Must be able to deal with multiple priorities and track a high level of detail in a fast-paced environment.
- Must handle highly challenging interactions with potentially aggressive customers and providers using listening skills, negotiating skills, grace and aplomb.
Education Essential: High School Diploma or GED
Responsibilities
- Uses excellent customer service skills in interactions with patients, members, employees and the public.
- Ensures appropriate contact and follow up actions are taken. Documents complaints in appropriate system if necessary.
- Assists with and maintains budget and processes expenses incurred by the PHS-COO.
- Maintains Board and department manuals, polices, biographical information and manages records and office supplies.
- May coordinate and attend meetings of PHS Board of Directors and Board/PHS Committees, prepares Board and Committee materials and takes meeting minutes.
- Coordinates the work of others and assists with orientation and mentoring other secretarial staff.
- Develops efficient systems for tracking performance measures for key metrics related to the PHS-COOs area of responsibility.
- Communicates and/or coordinates PHS-COOs instructions to others.
- Familiar with the business strategy, processes and procedures.
- Provides project coordination on leadership level projects and activities.
- Performs secretarial, administrative and general office work, including preparing correspondence, reports, presentations and other documents.
- Schedules appointments, coordinates meetings and events, and makes travel arrangements.
- May be responsible for database coordination, including data entry and production of regular and adhoc reports.
- Will be expected to be knowledgeable of department specific activities and to provide operational support in areas of assignment.
- May support additional Executive leaders as necessary.
