About the Job
POSITION OVERVIEW: Facilities Management is a department within University Services which is composed of the departments and people who deliver the non-academic operations across the University of Minnesota system. Facilities Management (FM) is responsible for all buildings, grounds and the energy management needs of the University of Minnesota Twin Cities campus. Facilities Management works to provide a safe, reliable and welcoming campus in support of the University's mission of teaching, research and outreach. FM's responsibilities include over 25 million square feet in more than 280 buildings across 1200 acres in the Twin Cities.
The Training and Support Specialist serves as a strategic resource for training Facilities staff on University of Minnesota Facilities systems, processes and supporting technologies. Under direction, this position plans, designs, and delivers digital and instructor-led training curricula, works with responsible subject matter experts to develop high quality training content, and ensures alignment with Facilities and UMN training objectives. This position provides functional support to Facilities staff via one-on-one and group support sessions.
This team member will also partner with functional team members and process owners to test new system functionality and enhancements, provide input into business processes, and secure alignment on training approach and content. Investigates new training technologies and techniques. Maintains documentation and job aids for all externally facing processes, including managing a system for disseminating that information. Relies on experience and judgment to plan and accomplish goals and requires a degree of creativity and latitude. This team member has the opportunity to improve maintenance team work execution through enhanced knowledge of FM systems and processes.
POSITION RESPONSIBILITIES:
Training Delivery (40%) * Facilitate and deliver regularly scheduled training on both the Minneapolis and St. Paul campuses, including technical, non-technical, departmental, and client-based training programs. * Deliver additional support through one-on-one coaching, small group, and open lab sessions.
Training and Communication Design and Development (20%) * Consults with management and facilitates collection of training and communication needs of the organization. * Researches and develops enhancements to existing training programs, including online delivery techniques. * Develops written broad communications. * Determines training objectives, writes training programs, including outline, text, and tests, and designs training lab exercises. * Ensures all content is high quality, up-to-date, and consistent with brand, style, and accessibility guidelines. * Works collaboratively with EAM Center Training Lead to ensure a consistent training approach to TRIRIGA
Training Administration (20%) * Responsible for the coordination of system and process training programs. * Conducts all administrative tasks associated with training programs including but not limited to scheduling training events, reserving rooms, maintaining, and troubleshooting registration, conducting regular participant evaluations and course assessments, and communicating with participants before and after class.
Documentation Maintenance (15%) * Develops and manages online help resources, including websites, forms, and knowledge base systems. * Responsible for regularly reviewing accuracy of all electronic and printed training materials, process flows, and procedure guides. * Consults with process owners, SMEs, and IT staff to create documentation and test cases for new systems, updates, or enhancements.
Other Duties (5%) * Assist with testing for technical and non-technical updates and enhancements. * Other duties as assigned.

Qualifications
POSITION QUALIFICATIONS: Required (minimum) qualifications * Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's degree in English, Communications, Business, Education or related; OR appropriate combination of education and experience. * Two-years' experience delivering hands-on training, with a preference for experience in software training of adult learners. * Proficiency in the Google Workspace and Microsoft Office Suite of products including layout, design, graphics, and templates
Preferred qualifications * Communication - Excellent facilitation, presentation, and interpersonal skills. The candidate must possess a superior ability to communicate effectively in one-on-one, small group, and public speaking contexts. * Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously. * Customer Focus - Exceptional customer service and collaboration skills with the ability to develop and maintain strong working relationships with peers, management, and the general university community. Implement qualitative and quantitative methods to access and track the effectiveness of training delivery, and act on participant feedback in order to improve future offerings. * Manage Ambiguity - Demonstrated history of balancing multiple priorities and projects simultaneously with the ability to adapt to the changing needs of the business with a focus on meeting milestones and deadlines. * Must have the ability to work both independently and within a team. * Possess an understanding of business functions and knowledge of business process and workflow. * Possess strong solution-oriented problem resolution and decision-making skills. * Stays informed on events, trends and other developments in own field of work. * Digital content creation and development experience, including web content publication and management. * Advanced knowledge of adult learning principles with the ability to apply instructional design techniques. * Proficiency in leading eLearning authoring tools such as: Articulate Storyline / Rise 360, Adobe. * Captivate, Camtasia, SnagIt, and Lectora Online. * Experience with IBM's TRIRIGA(or other Integrated Workplace Management Systems-IWMS), eCIFM On The Go tm, and Kronos. * Previous work experience in facilities and/or real estate management environments. * Experience creating documentation in compliance with section 508 of Web Content Accessibility Guidelines (WCAG) Physical and environmental requirements On-site work includes office setting as well as field work in mechanical equipment rooms. Some training will be conducted in a computer lab, other training will be on-site with maintenance staff where they work. Hybrid work environment (estimated 25% remote, 75% on site)
Pay and Benefits
