Job Summary

Responsible for the administrative research process for Robert Stempel College of Public Health & Social Work. Including, but not limited to, pre-award and post-award administration activities of grants and contracts awarded to the University. Advises Principal Investigators (PIs) on the most effective ways to achieve an effective quality proposal and coordinates a timely submission process, ensuring appropriate approvals. Provides compliance/oversight by monitoring budget and spending, processes expenditures, and provides ethical management of funds.

  • Works closely with the office of research administration within the College and the Office of Research and Economic Development (ORED) in overseeing the complex pre-award administration of grants for Stempel College.
  • Provides guidance to department, unit administrators, and faculty members on fiscal and administrative grant related matters and submission of grant proposals.
  • Assist principal investigators in the development of external funding opportunities, preparation of proposal budget, budget modification and transfers, and any other grant related documentation.
  • Reviews sponsor guidelines to ensure proposals have strict adherence and coordinates the proper gathering of required documentation for submission.
  • Coordinates proposal submission processes among various contributors including the PI, ORED, and the Dean's office research administration team.
  • Develops and implements internal operating procedures for the Stempel College pre-award area.
  • Prepares research effort allocations and monitors expiration of such allocations and ending dates. To ensure correct effort research allocations, initiate payroll transfers and verify payroll transfer execution.
  • Works closely with ORED in the negotiation of terms and conditions of grant and sub-recipient awards.
  • Enters contracts through TCM and reviews contracts.
  • Works closely with the Research Administration team and ORED in analyzing, reviewing and entering contracts for payments.
  • Performs grant management duties for assigned programs, maintains schedule of grantee reporting deadlines, and ensures compliance.
  • Reviews financial reports of expenditures incurred under a federally funded grant to ensure that they are complying, well substantiated, and error free.
  • Creates regular budget reports for PI and provides budget analyses and forecasts for PI to ensure accurate program planning and execution of project deliverables.
  • Assists with the monitoring of project budgets, prepares no cost extensions, continuation proposals, and all matters related to the operating budget as needed.
  • Serves as the University's credit card backup approver for departmental transactions. Assures compliance and adherence to University's credit card policies and procedures.
  • Reviews and processes invoices for payment to domestic and international partners and consultants.
  • Monitors all activities related to the sponsored research subcontracts.
  • Evaluates expenditures documents according to federal, state, and University guidelines for grant allowability and appropriateness.
  • This role may be eligible to participate in a flexible work arrangement as per FIU policy.
Minimum Qualifications

Bachelor's degree and two (2) years of grant or contract administration experience OR Certified Research Administrator (CRA) and two (2) years of grant or contract administration experience OR equivalent combination of education and six (6) years of grant or contract administration experience; OR an equivalent combination of relevant education and/or experience.
