Work Schedule
8:00 am - 5:00 pm; Monday - Friday. Work schedule may vary to accommodate the staffing needs of the Corporate Training and Executive Education operation. Schedule may vary to start as early as 7:00 am, and as late as 9:00 am. Flexibility is a must. Must have a car and be able to travel to meetings, and offsite corporate locations, as required. Office is located at the Dubois Center at UNC Charlotte Center City.
A flexible Work Schedule and a Hybrid Teleworking rotation are available once on-boarded into this role.
Primary Purpose of Position

  • The position of Program Coordinator, Corporate Training and Executive Education will be responsible for coordinating the detailed administrative support and assisting with the management of corporate client relationships for effective and financially viable continuing education (non-credit) instructional programs.
  • This position will assist the Director and Program Director of Executive Education and Corporate Training with the implementation of all program logistics, marketing, and registration from start to finish.
  • Duties include (but are not limited to) communicating by phone, email and in-person about various program details; participating in planning meetings with staff, program materials, such as name tents, certificates, flipcharts, markers, textbooks, and handouts; managing on-site, offsite and online classroom needs, creating, distributing and following up on outstanding invoices, tracking program budget expenses, reserving training space, ordering catering, and assisting with a variety of logistical arrangements.
  • The ideal candidate must be able to act independently and as a member of a team in a busy environment, must possess strong oral and written communication skills, be extremely detailed-oriented, highly organized, and be able to handle multiple priorities and meet overlapping deadlines.
  • The team member will need to demonstrate proficient working knowledge of Microsoft Office Suite, Google Apps, Canva, DropBox, Canvas and Zoom, with the ability to learn new software applications.
  • This position requires accountability as the employee is often required to be the first to arrive to ensure that the training space/classroom is set up and ready for the participants and instructors.

Minimum Education/Experience
Required Minimum Qualifications:
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

University Preferred Qualifications:
Graduation from a four year college or university and two years of related experience; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Essential Job Duties

Other Work Responsibilities
This position will be responsible for traveling to local offsite corporate locations. Must be able to box up, carry and take course materials to corporate locations, prepare classroom set-up, and open up classes. Responsible for attending offsite events as requested by Corporate Training and Executive Education staff.
Departmental Preferred Experience, Skills, Training/Education

  • 3-5 years in a customer service role, logistics planning and set-up.
  • Strong organizational skill and attention to details
  • Ability to analyze and evaluate daily and weekly course and classroom needs
  • Demonstrated success in following through and completing routine tasks
  • Strong verbal and written skills
  • Ability to manage competing priorities
  • Outstanding problem solving skills
  • Proficient computer skills and demonstrated experience with Microsoft Suite, Zoom and Google Apps.
  • Experience working in learning and development.
  • Proven experience managing large scale events.
  • Demonstrated proficiency in computer software including Word, PowerPoint, Excel and Google (Drive/Calendar/Email/Sheets/Docs).
  • Experience with budget and or finance
  • Excellent ability to problem solve, multi-task and communicate professionally with a wide variety of customers.
  • Demonstrated experience in managing projects and executing a wide range of administrative tasks in a customer service-driven field.
  • Working knowledge of purchase orders and ordering of supplies.
