What this job involves
The Facilities Coordinator will support the Site and/or Assistant Facility Managers in operational activities such as maintenance, vendor oversight, accounting, finance, equipment management, and occupancy services. You'll help maintain client relationships and ensure service excellence across all operational functions.
Key Responsibilities:Service Delivery
Foster a culture of teamwork, excellence, and personal success.
Conduct daily walkthroughs to ensure the office is clean, organized, and well-maintained.
Respond to work orders promptly, ensuring compliance with KPIs and providing excellent customer service.
Identify opportunities to enhance operations and service excellence, making recommendations for improvements.
Manage repairs, maintenance, and other work requests, tracking them to completion.
Provide direction to vendors, facilities staff, and service providers to ensure smooth execution of work with minimal disruption.
Assist in vendor procurement and service coordination.
Coordinate site amenities (fitness, food services, transport, etc.) and support site moves.
Manage events, meetings, and conference facilities as needed.
Assist with reception services, mail, office supplies, and building access.
Maintain accurate records for site operations, including web pages and official documentation for moves, events, and building management.
Develop and implement emergency response plans, including evacuations and after-hours procedures.
Client Relationship Management
Ensure compliance with the client contract and meet/exceed KPIs.
Deliver exceptional service, as reflected in client feedback.
Coordinate site operations according to agreed policies, procedures, and contract terms.
Finance Management / Cost Control
Manage operational reporting, budgeting, and purchasing.
Address any financial or budgeting concerns promptly.
Ensure accurate processing of purchase/work orders and payments to vendors.
Identify cost-saving opportunities and strategies for improving operational efficiency.
What you need to succeed:
Prior experience in facilities, property management, hospitality, or related fields is preferred.
Knowledge of local occupational health and safety regulations, critical facilities, and vendor management is a plus.
Understanding of technical property systems (e.g., HVAC, fire protection, mechanical/electrical systems) is beneficial.
Proficiency with information technology tools and platforms.
Strong communication, organizational, and problem-solving skills.
Ability to work independently and manage stress in fast-paced situations.
Self-motivated, confident, energetic, and flexible.
