Primary Duties and Responsibilities:
Assist the Manager, College Curriculum and Centralized Scheduling in the centralized scheduling and curriculum process. Responsible for supervising the scheduling of all credit and non-credit classes, as well as all internal events. Serve as the Systems Administrator for the ASTRA Scheduling System.
Coordinate the schedule development process with Deans, Division Staff, and Faculty Chairs. Analyze and resolve scheduling conflicts.Coordinate and monitor the input of the course schedule into Colleague to ensure its accuracy per ICCB guidelines and College policy.Review and manage schedule change requests from Deans and Division Staff. Coordinate the cancellation of classes with Provost and Faculty Chairs.Maintain communications with Deans throughout the scheduling process. Communicate optimized room assignments to Deans and work out any concerns.Serve as Systems Administrator of the ASTRA scheduling system; liaison between ASTRA and Information Technology. In this role, manage ASTRA scheduling system including room inventory, section and events scheduling, and running/reviewing reports and statistical data. Also maintain the room controls and restrictions in ASTRA; maintain and update ASTRA security roles for users.Develop and maintain regular enrollment statistic reports to assist Provost and Deans with course schedule planning.Develop, document, and maintain policies and procedures for Centralized Scheduling Office.Interview, hire, train, and supervise Campus Scheduling Specialists; manage their workload and develop cross-training for the team.Develop and deliver on-going training for division staff and program chairs. Gather input annually from division staff and faculty chairs regarding current scheduling process.Manage faculty office space based on faculty seniority.Work closely with Facilities and Project Managers: in the maintenance of room availability due to the construction on campus; to ensure classroom and campus meeting space meets current health and safety guidelines, serving as resource regarding classroom capacity and utilization.Analyze processes within Colleague and recommend process changes accordingly.Manage IT requests for Colleague scheduling processes as well as other Academic Affair processes (Honors automated notification system).Maintain degree major codes for Human Resources within Colleague.Support the college's curriculum approval and development process through the operation of the college's Courseleaf curriculum database.Trouble shoot in all areas of Curriculum and Centralized Scheduling Office.Participate in committee meetings and represent the Curriculum/Centralized Scheduling Office on College wide committees.As a static member of the Academic Calendar Committee, assist with development, maintenance, and updates of the College Academic Calendar; provide historical data; and research comparable calendar practices at peer institutions.As needed, assist the chair of the College-wide Curriculum Committee in preparing materials for each curriculum meeting.Coordinate annual review and approval process for course fees and maintain the course fee schedule.Coordinate annual review and approval process for master course capacities and maintain course capacity list.Serve as liaison with 3+1 partner institutions with their course offerings at COD.Together with Curriculum Manager and area administration, determine and communicate best practices regarding scheduling procedures, room utilization, and strategic scheduling. Other duties as assigned.
Qualifications:
- Education
- Associate's Degree required.
- Bachelor's Degree preferred.
- Experience
- Five to seven (5-7) years high level office experience with exposure to educational data processing systems required.
- Thorough knowledge of educational institutions and their operation required.
- Close attention to detail and ability to work under pressure to meet deadlines required.
- Excellent interpersonal, verbal and written communication skills required.
- Thorough knowledge of Colleague Student System and ASTRA Scheduling System, or comparable student information system(s) and scheduling system(s), required
- Ability to make decisions required.
- Supervisory experience or experience managing complex projects required.

Hiring Range:
Managerial 3 Salary/60,064.00 - 60,064.00
