Overview:

The Oak Ridge National Laboratory (ORNL) is seeking qualified applicants for a Materials Support Specialist. Under limited supervision, the incumbent will be responsible for day-to-day operations of ORNL's web-based procurement system as it relates to the Materials Management Group to ensure that ORNL's best interest is being served regarding receiving and delivery functions. This role includes serving as the Materials Management lead person on procurement evaluations for new agreements and provide feedback in vendor performance evaluations and meetings. This position is responsible for cylinder operations including, but not limited to management of ORNL's cylinder tracking software Acutrax, cost distribution across divisions and reconciliation of invoices.

Major Duties and Responsibilities:

As a member of the Logistical Services Materials Management team, the Materials Support Specialist is expected to:

  • Coordinate all returns/exchanges with end users and vendors.

  • Process credits and adjustments while preparing and maintaining required documentation.

  • Maintains receiving records as required.

  • Serve as lead contact for questions and complaints from various outlets such as vendors, customers, transportation, accounts payable, property management etc. regarding Marketplace issues and discrepancies that concern receiving and delivery.

  • Work directly with MMO Supervisors and vendors to resolve issues and expedite orders when required.

  • Promote and maintain a business culture that focuses on meeting the needs of the research, craft and maintenance personnel.

  • Develop and analyze cylinder reports and use problem solving skills for cylinders reconciliation, Acutrax system issues, and vendor invoicing.

  • Serve in an important customer interface role for materials management support to ensure that customers' materials management needs are met.

  • Participate on procurement evaluation teams.

  • Provide input on the selection of quality vendors to reduce risk to ORNL.

  • Assist in developing and reviewing work plans, procedures, and job aids.

  • Ensure that all materials management activities are conducted in total compliance with the governing DOE Standard and within established budgets and schedules.

Basic Qualifications:

  • BS degree in business, logistics, or other related field.


Preferred Qualifications:

  • Working knowledge of standard office software systems (Microsoft Office suite); including the demonstrated ability to work with other unique business software.

  • The ability to prioritize, work independently, make decisions, communicate ideas and concepts.

  • Familiarity with labor relations principles and working within a collective bargaining union contract environment is highly desirable.

  • Strong organization skills, including the demonstrated ability to work through multiple projects and adapt to multiple tasks and changing priorities in a dynamic and demanding environment

  • Excellent oral and written communications, good interpersonal and problem-solving skills, and the ability to develop positive customer relationships.

  • Ability to positively interact with a wide variety of ORNL staff and clients at all levels and resolve and or advise management on a wide range of administrative and or technical issues.

  • Ability and desire to be a team player and to exercise sound judgment within the assigned scope of responsibility.
