Job Summary:

The Associate Executive Admin Assistant provides advanced administrative support to the Vice President of Customer Strategy & Sales Operations and two other Vice Presidents of Sales at Nestle Health Science US. This is a hybrid position that requires an average of 2-3 days per week at our corporate office in Bridgewater, NJ.

Responsibilities:

  • Manage invoices, prepare and organize documents, and handle travel arrangements and expenses
  • Manage scheduling and maintenance of calendars to include meeting coordination
  • Document preparation and management to include drafting, editing , and proofing
  • Provides effective communication with all stakeholders at all levels within the organization
  • Serve as a knowledge resource for corporate policies and procedures
  • Creation of memos, correspondence &presentation materials, as well as managing complex editorial changes to documents from multiple parties

Requirements:

  • HS Diploma required, with advanced degree preferred
  • 3+ Years of Administrative Experience; supporting C-level executives a plus!
  • Advanced computer skills using Microsoft Office Suite: Word, Excel, Power Point,Outlook, and Teams
  • Experience with Concur Online Travel & Expenses & SAPa plus
  • Proven ability to support multiple teams and manage priorities with a demanding workload

  • Demonstrate leadership and proactive collaboration with all team members and senior executives, often taking on additional tasks to support colleagues

  • Forward thinker and planner; able to continually anticipate needs and use sound judgment
  • Act in a discreet and professional manner with others, demonstrating sensitivity to the confidential nature of the company's business
  • Extensive problem solving ability
