Coordinator - Graduate Student Employee Coordinator
Position Description Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.
The Graduate Student Employee Coordinator is responsible for managing and supporting the administration of graduate student employees and related activities within the College, fostering effective communication and collaboration with various campus departments, and ensuring the overall success of graduate student employees in their respective roles.

Major/Essential Functions
- Maintain graduate student applications for all graduate student employee positions (Research Assistant, Graduate Part-Time Instructor, Teaching Assistants, Graduate Assistant).
- Process Research Assistant, Graduate Part-Time Instructor, Teaching Assistant, and Graduate Assistant reappointments and new hire paperwork each year. Work with the Director of Finance in the EDUC (and Grant Office as applicable) regarding funding sources for such positions. Process termination documents when graduate student employees as appropriate.
- Act as a liaison with Student Business Services, Financial Aid, Graduate School, International Cultural Center, and other campus departments on issues involving graduate student employees.
- Organize, send out, collect, and analyze Research Assistant and Graduate Assistant semester evaluations.
- Monitor academic progress of all graduate student employees (e.g., required hours of enrollment in college courses, check degree plans for progress/GPA). Update list of those who file intent to graduate forms.
- Assist the Associate Dean for Research and Outreach with student employee orientations and monthly Research Assistant meetings. Schedule meeting rooms, communicate with RAs and presenters, send follow-up information.
- Communicate with graduate students regarding travel, allowable expenses, and related rules and policies.
- Process travel applications and vouchers for graduate students. Apply all applicable funding sources to travel reports. Send reminders about submitting expense receipts in a timely manner.
- Submit Title IX/Clery Act reports regarding student travel monthly.
- Provide administrative assistance to the Associate Dean for Research and Outreach on the collaborations and outreach activities of college faculty and centers.
Required Qualifications High school graduation plus five (5) years progressively responsible related experience; additional related education may exchange for the required experience on a year for year basis.
Preferred Qualifications
- Strong clerical experience, with knowledge of record keeping and ability to work with various internal and external customers including faculty, and graduate students. Knowledge of administrative and clerical procedures and systems such as Microsoft Office and other office procedures. Ability to communicate effectively both orally and in writing. Knowledge of Title IX and Clery policies and university student employment and travel policies and procedures. Strong organizational skills, ability to handle multiple projects, and answer questions for graduate students.
- Experience working with various internal entities including the Graduate School, International Cultural Center. Working knowledge of Banner, Xtender, Excel, and Access, Chrome River.
- Experience in a higher education setting.
