Compliance Coordinator: This is where you come in.

The Compliance Coordinator is responsible for efficiently handling compliance-related tasks assigned by the Project Accounting Manager.Key responsibilities include assisting vendors with B2Gnow registration, reporting payments on B2Gnow, researching purchase orders and subcontracts, verifying compliance on the L&I site, and ensuring valid Certificates of Insurance (COI) are on file.This role requires meeting performance standards set by management and adhering to all company policies and procedures.The Compliance Coordinator reports directly to the Project Accounting Manager and collaborates closely with account and project managers.

The Compliance Coordinator reports to Aleksandr Borishkevich / Project Accountant Supervisor on a collaborative team working on a variety of projects and initiatives to support the growing business.

Top deliverables in the first year to be a hero:

  • Ensure Vendor Compliance and Registration:
    • Assist vendors with B2Gnow registration and compliance requirements.
    • Maintain valid Certificates of Insurance (COI) on file.
  • Monitor and Report Financial Transactions:
    • Report payments received and made on B2Gnow.
    • Communicate with customers to request, collect, and allocate payments.
    • Research and resolve payment discrepancies.
  • Manage Compliance Documentation:
    • Research new Purchase Orders and Subcontracts for contract compliance requirements.
    • Capture data from Labor and Industries (Intent, Certified Payroll, Affidavit).
    • Investigate alerts on L&I (WA, OR).
  • Administer Subcontractor Processes:
    • Generate subcontracts and process subcontractor invoices.
    • Track subcontractor insurance and ensure compliance.
  • Support Financial Health of Projects:
    • Collaborate with business partners to ensure overall financial health throughout project setup, contract and change order management, and billing administration.
    • Ensure projects are billed according to contractual requirements with necessary lien waivers and supporting documents.

You should have...

  • Advanced Proficiency in Microsoft Office Suite: Expertise in Word, Excel, PowerPoint, and Outlook, including advanced functions such as pivot tables, complex formulas, and mail merge.
  • Experience with WennSoft and Microsoft Dynamics: Familiarity with these platforms is preferred for efficient management of financial and operational tasks.
  • Proactive Problem-Solving Abilities: A forward-thinking approach to identify and address challenges effectively.
  • Strong Team Collaboration Skills: Ability to work cohesively within a team, demonstrating positive communication and empathy.
  • Meticulous Attention to Detail: Capable of maintaining accuracy in a fast-paced, ever-changing environment.
  • Effective Communication with Stakeholders: Serve as a liaison to internal and external customers, ensuring clear and professional interactions.
  • Analytical and Investigative Skills: An inquisitive mindset to analyze data and investigate discrepancies.
  • Educational Background: Bachelor's Degree in Accounting or Business Administration, or equivalent experience.
  • Accounting Experience: 1-3 years of prior accounting experience, preferably with accounting software programs.

Compensation: $25-$33 hourly
