As the Sr. Executive Assistant, you will play a pivotal role in providing strategic support to C-Suite executives, ensuring seamless operations and effective communication. Your contributions will extend to supporting department VPs across various functions, from administrative tasks to complex projects, all aimed at driving departmental and organizational success. Responsibilities
Executive Support and Administrative Excellence
- Primary Administrative Resource: Act as the main administrative support for assigned executives and senior leadership.
- Correspondence and Documentation: Draft and engage in correspondence, create reports and presentations, organize files, track data, and manage expense reporting.
- Board and SEC Support: Review and consolidate deliverables for board meetings, facilitate agendas, prepare board books, and assist in quarterly earnings reports and SEC filings.
Strategic Planning and Operational Management
- Headcount and Organizational Tracking: Develop and maintain effective organizational headcount tracking and organization chart processes.
- Financial Management: Manage annual budget and initiative/project budget processes, coordinate monthly business expense reporting, and conduct budget variance analyses.
- Project and Initiative Coordination: Partner with senior leadership to manage initiatives, projects, and meetings, ensuring alignment with organizational goals.
Communication and Confidentiality
- Information Gathering and Analysis: Gather, compile, verify, analyze, and proofread information for executive use in various documents.
- Stakeholder Engagement: Organize and coordinate meetings and events with internal and external stakeholders, representing executive leaders effectively.
- Confidentiality and Discretion: Manage confidential issues with independent judgment, ensuring quality service and resolution, and develop correspondence reflecting executive leadership views.
Qualifications
Education / Experience
- High School diploma/GED required; Bachelor's degree (preferred)
- Minimum of seven (7) years of experience as an Executive Assistant (or role with similar scope) (required)
- Minimum five (5) years of experience supporting a senior executive working in a large, complex function (preferred)
- Demonstrated experience with implementing and administering key processes with little supervision, administering budgets, and supporting multiple executives (preferred)

- Confidentiality: Address sensitive and confidential information in a professional, mature, discreet, and secure manner.
Technological Proficiency
- Technological Adaptability: Use and learn new technology and software required in the course of business, including video conferencing platforms, budget and accounting software, and various digital tools.
