Position Summary
Position Overview: This position plays a critical role in supporting the financial and administrative functions of our team. The successful candidate will be responsible for a variety of tasks that ensure the smooth and accurate processing of financial documentation and project closeouts. Key Responsibilities: Maintain and verify the proper closing of indices and funding sources to ensure financial accuracy and compliance. Manage the full lifecycle of procurement documentation, including processing and tracking all Purchase Orders (POs), PO modifications, pay applications, and invoices across two major platforms-Unifier and LoboMart. Accurately attach all supporting documentation, such as invoices, POs, and PCard receipts, within Unifier to maintain a clear and organized digital audit trail. Oversee the project closeout process, including communication with vendors to confirm that all deliverables are met and that POs are ready for closure in LoboMart. Verify the successful posting of journal vouchers (JVs) and upload corresponding documentation into Smartsheet to keep financial records up to date and easily accessible for project stakeholders. Send monthly reminders to vendors regarding the submission of pay applications to ensure timely payment and avoid processing delays. The ideal candidate brings a background in accounting or financial operations, along with experience working collaboratively within a team-based environment. Strong organizational skills, attention to detail, and a proactive approach to problem-solving will be essential for success in this role. While previous experience with systems like LoboMart, and Smartsheet is preferred, it is not required. We welcome applicants who are eager to learn and grow.
