About the Job

Graduate Program Coordination 50%

Assist with all divisional level courses

  • Enter grades
  • Update syllabi
  • Schedule lectures
  • Make any changes needed in ECAS/PCAS and work with director to get ECE change approvals
  • Make sure resident registration is appropriate and fix any issues that can arise with credits, grades, late fees etc.
  • Monitoring of resident academic standing during program
  • Monitoring and tracking of any disciplinary action or complaints of residents
  • Monitoring and tracking of complaints made by residents in regards to faculty, staff or other school members.
  • CODA accreditation assistance
  • Including annual survey and all other documentation to maintain accreditation.
  • Assist residents with locating housing, transportation and any other needs when they arrive on campus, as well as before they arrive.
  • Work closely with ISSS for international student visas, licensure etc.
  • Assist residents in getting their resident license in MN, NPI number, jurisprudence etc.
  • Maintain and Manage Alumni information, including creating alumni events and asking for donations.
  • Track residents in RMS for MMCGME (includes adding, auditing, approving and making sure they complete variously assigned duties)
  • Manage and maintain the annual application system for the residency program
  • Work with ADEA Pass to make needed updates
  • Track and manage applicants including all correspondence.
  • Assist with selection of applicants for interview
    • Send all rejection and invitation letters for interviews
  • Arrange and manage the interview process
    • Catering, meeting times, schedules, assist with travel etc.
  • Assist in selection of candidates who will be offered positions
  • Send all offer and rejection letters
  • Onboard and process all incoming residents (multi month process)
  • Assist with GPAS and other graduation items
  • Organize events for the program as well as work with Advanced Education specialist in multi program event organization
  • Attend monthly program coordinator meetings to assist other coordinators and get assistance as needed.
  • Creation of extramural rotations for residents, including making sure they are covered while out of the TMD Clinic

Divisional Administration 50 %

  • Track faculty activity, awarded grants, publications etc.
  • Update faculty web presence (NIH, NCBI, MN Experts etc.)
  • Help design business cards, door nameplates and other division branded materials.
  • Assist in distributing mail to the 6th floor
  • Serves as key contact and delivers first level troubleshooting for maintenance of office equipment and IT difficulties.
  • Coordinate, schedule and manage division meetings and divisional spaces (conference room, offices etc.)
  • General administrative and office duties, such as faxing, filing, copying etc.
  • Chrome River
  • Outside payments (Vendors, lecturers etc.)
  • Reconciliation of division P cards
  • Blanket order creation and receiving of invoices on blanket orders
  • Order clinical, divisional, and all other supplies, including keeping an eye on cost and discrepancies.
  • Register residents, faculty and staff for conference and do expense processing.
  • Oversee student workers
Qualifications

Requirements:
- High School Diploma/GED and five years of related experience to include project management.

Pay Range: $25.00 - $28.00 per hour; depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
