Job Summary:

The Wisconsin Reading Center (WRC) is a core imaging laboratory within the Department of Ophthalmology and Visual Sciences. This position provides essential administrative support to Directors, managers, and project management teams. The role requires excellent organizational, communication, and interpersonal skills to effectively support WRC operations. You will interface with UW faculty, WRC visitors, and external vendors while managing multiple concurrent projects.

This position requires considerable independent initiative, judgment, and strong problem-solving abilities. You will assist with tracking, prioritizing, and completing projects while helping document processes and workflows within the WRC.


Responsibilities:
Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.

  • 25% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • 30% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • 20% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • 20% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
  • 5% Serves on committees and attends meetings, representing the interests of the unit or program

Qualifications:

Required:
-Proficiency with Microsoft Suite products, including advanced Excel skills.
-Excellent written and verbal communication abilities for effective interaction with colleagues, clients, and leadership.
-Strong organizational skills to prioritize tasks, meet deadlines, and efficiently manage workload.
-Ability to manage multiple projects simultaneously while maintaining accuracy.
-Demonstrated problem-solving skills and analytical thinking.
-Workplace adaptability- ability to be flexible and adjust to changing factors, conditions or environment . Respond quickly to changing ideas, responsibilities, expectations, trends, strategies and processes.

Preferred:
-1 year working in university travel and policies systems.
-Experience with dashboard tools such as Smartsheets, Power BI, or Tableau.
-Ability to create and implement processes for new systems.
-Ability to lift 30 lbs.


Work Type:

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.


Appointment Type, Duration:

Terminal, 12 month appointment.
This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding


Salary:

Minimum $48,107 ANNUAL (12 months)

Additional Information:

University sponsorship is not available for this position, including transfers of sponsorship and TN visas.
