Crystal Run Urgent Care, part of Optum, has an immediate opening for a friendly, patient focused and detailed oriented Urgent Care Unit Secretary to join our team. The Urgent Care Unit Secretary is responsible for the completion of set processes and protocols. Works cooperatively with all members of the care team to support the vision and mission of the organization, deliver excellent customer service and adhere to Lean processes. Supports the teams in meeting financial, clinical and service goals.

Schedule: Office is open seven days a week. This role would consist of 34.5-hour work week, 3-rotating 12-hour shifts between the hours of 8:00 am to close (approximately 8:00 pm). Rotating Holidays and Weekends. The schedule will be determined by the supervisor upon hire.

Location: 1200 Route 300, First Floor, Newburgh, NY 12550

Primary Responsibilities:



  • Answers incoming phone calls in a courteous and prompt manner; directs calls and takes messages
  • Schedule appointments for new or established patients
  • Enters and scans patient's demographic and insurance information into Electronic Health Record
  • Documents information acquired and services implemented in the patient health record
  • Assists physician and clinical staff by coordinating follow up care for patients; schedules referral appointments for patients and obtains authorization for diagnostic testing
  • Performs clerical duties such as copying, faxing and filing
  • Manages Urgent Care providers schedule throughout the day
  • Manages patient flow
  • Collects data from patient charts to complete forms, prior authorizations and schedule appointments as needed.
  • Comfortable working in high pace environment
  • All employees are expected to keep abreast on current medical requirements relevant to their position, which includes maintaining patient confidentiality and abiding by all HIPPA and OSHA requirements
  • Provide effective communication to patient / family team members and other health care professionals as evidenced by documentation, case conferences, communication notes, and evaluations
  • Performs related work as required

Required Qualifications:



  • High School Diploma / GED (or higher)
  • Intermediate level of computer proficiency
  • Ability to work flexible hours to include both Saturday and Sunday
  • Ability to travel to cover other offices if needed


Preferred Qualifications:



  • 1+ years of experience working in medical front office\ Urgent Care position performing duties such as scheduling appointments, checking patients in/out, insurance verification, collecting co-pays, and maintaining medical records
  • 1+ years of customer service or healthcare related experience
  • EMR/EHR knowledge
  • Knowledge of Medical terms

  • Strong organizational and time management skills
  • Ability to multi-task and prioritize tasks to meet all deadlines
  • Ability to work well under pressure in a fast-paced environment

The salary range for this role is $16.00 to $28.85 per hour based on full-time employment. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
