EnSafe is accepting applications for a Project Controls Administrator based out of the Houston, TX, or Dallas, TX, branch office.

What We Are Looking For:

As a Project Controls Administrator, you will provide comprehensive support to a team of Project Managers in all areas of project financials and cost control across a diverse portfolio of Environmental, Engineering, and Health & Safety projects. The ideal candidate will bring a strong understanding of accounting and financial practices within a service-based industry.

What You Will Be Doing:

  • Thrive in a fast-paced environment, balancing monthly project closeout responsibilities with active participation in project meetings and support of Project Managers.
  • Collaborate closely with multiple Project Managers to develop and distribute accurate monthly project status reports.
  • Assist Project Managers with billing review and ensure timely, accurate invoicing.
  • Verify that all project billing aligns with applicable client contracts and project agreements.
  • Manage the financial structure and revenue setup for all assigned projects in accordance with internal procedures.
  • Execute cost transfers while ensuring compliance with company policies and accounting standards.
  • Prepare and submit final invoices for review and entry into the financial system.
  • Support Accounts Receivable collections efforts, as needed.
  • Monitor, investigate, and track unbilled project costs.
  • Communicate billing and invoicing status to internal stakeholders as required.
  • Provide administrative and financial support to Project Managers and Project Controls Associates as needed.

What You Will Need:

  • Minimum of 6 years' experience in billing within the AEC (Architecture, Engineering and Construction) industry, preferably supporting project-based work.
  • Proficiency in Microsoft Excel and strong capability in managing a high volume of communications through Microsoft Outlook.
  • Demonstrated ability to manage a diverse portfolio of projects with a high degree of accuracy, organization, and attention to detail.
  • Excellent verbal and written communication skills, with the ability to convey financial information clearly and effectively.
  • Proven ability to be resourceful, adaptable, and professional when working with diverse personalities and teams.
  • Willingness and ability to travel occasionally, as required by project or team needs.

Ideally, you'll also have:

  • An associate's degree or a BA/BS in finance, business, accounting, or a related field is preferred.
