EXCITED TO GROW YOUR CAREER? WE'RE GLAD YOU'RE HERE! The Small Meetings Sourcing Manager is the primary liaison for assigned programs, supporting a key client in the banking and financial services industry.

This role manages corporate meetings and events from initial planning to final billing, with a strong focus on exceptional customer service and seamless program execution.

Key responsibilities include sourcing venues and suppliers, negotiating contracts, managing budgets, and ensuring client objectives are fully met.

25% - Sourcing & Contracting Management

  • Qualify requests and source destinations and hotels based on client needs.

  • Negotiate key program components, ensuring proper processes, cost savings, and use of required addendums.

  • Secure room blocks and pricing from hotels and venues.

  • Conduct additional negotiations with third-party suppliers (e.g., DMCs) to optimize costs, profitability, and terms.

  • Manage programs from contract turnover to final billing using internal systems.

  • Support major contract re-negotiations, cancellations, and contract interpretation as needed.

25% - Process Management

  • Develop and manage project timelines with clients and suppliers to ensure timely, accurate handling of program details.

  • Oversee all deliverables and maintain regular team communication.

  • Coordinate and participate in site inspections as needed.

  • Create detailed program itineraries/agendas and ensure complete program file management.

  • Review final billing for accuracy and ensure alignment with client expectations.

  • Continuously evaluate program outcomes and recommend improvements.

  • Collaborate with registration, air teams, and IT to support seamless program delivery.

25% - Relationship Management

  • Maintain proactive, open communication with clients, internal teams, and suppliers.

  • Guide teams toward using preferred hotel partners and advise on supplier options.

  • Lead supplier negotiations and ensure program goals are clearly communicated.

  • Conduct regular status meetings with clients and stakeholders throughout the program lifecycle.

  • Build and sustain strong client partnerships to ensure satisfaction and program success.

25% - Financial Management

  • Advise clients on deposit requirements and manage timely payments.

  • Accurately forecast and update financials in program management systems.

  • Monitor program budgets and audit all billing for accuracy.

  • Track expenses and consistently communicate financial updates to clients.

This role may require domestic travel for client site inspections and/or program operations. Travel carries inherent risks, especially in emergencies. In such cases, you are expected to provide leadership, ensure client and participant safety, and support established crisis procedures.

Qualifications

  • Minimum three years of experience in sourcing, project, event, or meeting management, including at least two years in procurement. Hotel buying experience required.

  • Strong negotiation skills and knowledge of domestic hotels and destinations (international experience a plus).

  • Familiarity with travel supplier operations and service capabilities.

  • Program management system experience preferred, especially CVENT. Hospitality industry operations experience a plus.

  • Proven ability to build and maintain key client and supplier relationships.

  • Ability to effectively manage multiple projects and competing demands.

  • Strong knowledge of program/event management and budget oversight.

  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.

  • Comfort with technology, software solutions, and data analysis.
