THE POSITION

The Alabama Medicaid Agency (AMA) is actively involved in a major transformation project involving moving from a monolithic system with 14 different business functions to an interoperable, modular system based. This multi-year "Modularity" project involves working with multiple vendors employing various project management methodologies. The Alabama MES Modernization Program (AMMP) must comply with the Center for Medicare and Medicaid Services standards and requirements such as the Medicaid Information Technology Architecture (MITA), Medicaid Enterprise Certification Lifecycle (MECL), and the Medicaid Enterprise Certification Toolkit (MECT). The AMMP To support this effort, the Medicaid Agency is seeking an experienced Project Analyst to be a member of the Medicaid Enterprise Systems (MES) team. The vendors are responsible for project documentation and program deliverables. The Project Analyst is expected to act as a liaison between the MES division and the service and module vendor teams. This Project Analyst will support coordination and communication associated with various aspects of the program to include deliverables status reports, performance reviews, meetings and program resources. This position will work closely with the Project Management Office (PMO) vendor.

RESPONSIBILITIES:



  • Support project activities by creating documents, presentations, scheduling meetings, taking notes, and tracking issues and action items.
  • Maintain project materials, track progress, and ensure completion of tasks.
  • Apply knowledge of different project management methods and SDLC processes.
  • Identify and help resolve project risks and issues.
  • Ensure quality and compliance of internal deliverables and vendor outputs.
  • Understand contract terms and monitor vendor performance to ensure they meet requirements.
  • Act as a key point of contact between the MES team and vendors for deliverable tracking and coordination.
  • Communicate effectively with executives, managers, technical teams, and business stakeholders.
  • Organize and facilitate meetings, both in-person and virtual (MS Teams, Zoom, Webex), including note-taking and follow-ups.
  • Translate technical details into clear, non-technical language when needed.
  • Manage MES team's SharePoint site, including organizing documents, folders, and improving usability.
  • Provide SharePoint training and support to team members.
  • Coordinate team updates, reporting, and internal engagement activities.



ADDITIONAL INFORMATION



  • This position requires 100% on-site in Montgomery AL central Medicaid office.


QUALIFICATIONS

  • Bachelor's degree in Business Administration, Communications, Computer Science, IT Management or related field; AND,
  • 3+ Years of experience as a Project Analyst or assisting Project Managers
  • 1+ years of experience with multi-vendor projects
  • 3+ years of experience as a technical writer
  • 1+ years of experience in establishing, managing and organizing SharePoint sites
  • Expert/Advanced knowledge of all Microsoft Office products including MS Project and SharePoint



PREFERRED

* Experience with:



  • Microsoft Word ability to develop document templates
  • Microsoft Excel experience in complex formulas
  • Microsoft Visio ability to create charts and flow diagrams
  • Managing on and offboarding activities to include space allocation, orientation of new employees, and coordination with PMO services team
  • Preparing guides, policies and memorandums
  • ITIL processes and IT support frameworks
  • Agile project management methodologies and tools.
