This position may be eligible for a telework schedule once onboarding into position is complete and with supervisor approval.
Primary Purpose of Position
The primary purpose of this position is to serve as a consultant to hiring managers concerning recruitment, modification, hiring documents and/or contracts for faculty, staff, post-doctoral, non-student temporary, and student employee positions. This position is also responsible for initiating system related actions to include position modifications as well as job postings for faculty, staff, and temporary positions. In collaboration with the Assistant Dean of Budget & Personnel, the Human Resources Specialist initiates annual and cyclical contract renewals. This position also provides support to the college Grants Specialist regarding grant supported personnel actions.
Minimum Education/Experience
Required Minimum Qualifications:

Graduation from a four year college or university; or an equivalent combination of training and experience.

University Preferred Qualifications:

Four year degree in business or HR and one year of human resources experience, or graduation from high school and five years of progressively responsible administrative work including at least two years of experience in administering a human resources program(s) for a work unit or in a personnel office.
Essential Job Duties

  • Provide assistance and coordination in the full life cycle position management and recruiting process for positions using the applicant tracking system.
  • Ensure recruitment practices are done in accordance with employment laws, regulations, and University policies and procedures.
  • Coordinate and lead strategy sessions with hiring managers to provide guidance in the creation of position descriptions and job postings.
  • Develop strategies for advertising vacancies to attract qualified and diverse candidates.
  • Assist hiring managers in the evaluation of candidate qualifications as requested.
  • Assist with maintaining and updating position descriptions.
  • Draft and compose correspondence, guides, presentations and other supporting documents for the unit that will assist hiring managers in the application of the hiring process.
  • Maintain communications with supervisors, managers and directors in response to requests for information, assistance and guidance on the position management and hiring processes.
  • Enter HR actions into NinerTalent (PeopleAdmin), monitoring the action from start to finish, adding the appropriate information, and completing the appropriate forms as needed.
  • Interpret guidelines, answer inquiries and provide advice and counsel on University HR policies, processes and procedures.
  • Review and make edits as needed to hiring actions and documents to ensure accuracy, completeness and institutional compliance to University guidelines and/or regulations.
  • Utilize, reconcile and manipulate data from different internal and external software systems.
  • Compile, analyze, assimilate, compose and maintain information and records.
  • Facilitate training on the position management and hiring process.
  • Serve as a search committee member, group interview facilitator, conduct phone interviews and/or complete reference checks for recruitment, as needed.

Departmental Preferred Experience, Skills, Training/Education

  • Graduation from a four-year college or university and one year of related experience or graduation from high school and five years of progressively responsible administrative work including at least two years of experience in administering a human resources program(s) for a work unit or in a personnel office, or the equivalent combination of training and experience.
  • Two years of related human resources administration experience preferred.
  • Knowledge of employment laws and regulations.
  • Ability to interpret and communicate University, state, and federal laws, regulations, policies and procedures.
  • Experience understanding the values and philosophy of human resources in a higher educational setting, or similar business environment.
  • Experience in Human Resources compliance with recruitment and selection policies, procedures, and software.
  • Experience using applicant tracking systems - preferably PeopleAdmin.
  • Strong ability to create, compose and edit written materials, such as position descriptions and job postings.
  • Exemplary skills in verbal, written, and interpersonal communications with the ability to influence and effectively work with diverse populations.
  • Strong organizational and analytical skills.
  • Strong customer service orientation and ability to effectively anticipate and respond to requests for information and assistance.
  • Ability to maintain a high level of confidentiality and professionalism.
