The Administrative Service Coordinator is responsible for providing high-level administrative and customer service support to patients, families, internal team members and providers. Additional duties may include, but are not limited to, patient scheduling/registration, basic telephone triage, copying, scanning and/or filing various documents, supporting insurance management functions, administering one or more calendars, creating presentations, flyers and other documents, as well as providing logistical support for events.

Duties & Responsibilities

ESSENTIAL FUNCTIONS
An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the functions which the employee may be expected to perform.
1. Performs complex calendar management support for multiple professionals.
2. Provides operational, financial, and physician support.
3. Arranges and schedules meetings, including conference calls and seminars, for internal team members.
4. Arranges and schedules interviews and makes travel arrangements for providers.
5. Provides communication support, including creating and reviewing power point presentations as directed, taking notes/meeting minutes, creating flyers as prescribed, and creating correspondence.
6. Provides patient scheduling, i.e. clinic and/or surgery scheduling (50% or less of total time).
7. Provides a high level of customer service support and assistance to patients, families, physicians and other internal/external customers.
8. Supports a variety of departmental projects, as needed.
9. Supports office management functions such as, setting up and maintaining files, receiving and referring inbound calls and ordering supplies.
10. Receives inbound and/or places outbound patient calls in order to schedule appointments and to route calls as appropriate.
11. Performs reception duties utilizing various systems including telephone, fax machine, mail services, email and copy services.
12. Performs data entry and tracking functions.
13. Supports patient safety by adhering to all infection control policies and safety guidelines.
14. Utilizes and remains up-to-date with department office operations and established policies and procedures.
Minimum Qualifications
- Degrees
- High school diploma or equivalent is required.
- Experience
- Minimum of two (2) years of administrative and/or customer service experience is required.
- Equivalency
- : A relevant Associate's or Bachelor's degree may substitute for required experience on a year for year basis
Salary Information
Pay is dependent on applicant's relevant experience.
Hourly Range: $22.20 to $33.30
