Program Specialist Job Responsibilities:

The Program Specialist answers inbound and makes outbound telephone calls to assist or service callers. Maintains computerized data systems for physician referrals, classes, and/or clinical calls to support user needs. Provides excellent customer service to internal and external clients. Works with other program specialists and managers to coordinate marketing representative team members to ensure service level, quality, and fulfillment. The position provides administrative and clinical support to our team of genetic counselors. This role ensures a seamless patient experience by managing intake forms, facilitating communication, coordinating appointments, and supporting the Hereditary Multi-Disciplinary Clinic. It acts as a liaison between patients and clinical staff, helping to streamline workflows and maintain timely documentation.



  • Answers inbound and makes outbound telephone calls to assist or service callers.
  • Maintains computerized data systems for physician referrals, classes, and/or clinical calls to support user needs.
  • Provides excellent customer service to internal and external clients.
  • Works with other program specialists and managers to coordinate marketing representative team members to ensure service level, quality, and fulfillment.
  • Enrolls participants in various community, team member, or physician classes and special facility programs.
  • Provides physician referrals and general information to the community, team members, and physicians.
  • Schedules and registers patients for system-wide clinical appointments in a variety of software programs.
  • Maintains integrity of files, and adds new classes, physicians, and physician codes.
  • Make reminder phone calls to patients one week prior to their appointments; follow up immediately with an email containing the family history questionnaire (Progeny link).
  • Review and upload all genetic test results from the queue.
  • Begin each day by reviewing the patient schedule to ensure family history pedigrees are complete. If incomplete, initiate the pedigree using available chart and demographic data.
  • Assist patients with completing pedigrees on the day of their appointment, if needed, and input information electronically.
  • Call firefighter patients upon receiving the list to initiate the Progeny questionnaire process.
  • Regularly scan and upload consent forms into the patient record.
  • Respond to patient inquiries related to billing, genetic testing turnaround times, and other general questions; triage more complex concerns to appropriate team members as needed.
  • Schedule patient and provider appointments in the template and in EPIC; act as the main point of contact for patients.
  • Actively monitor the schedule and make efforts to fill any last-minute cancellations.
  • Serve as the onsite lead for logistical coordination during multi-disciplinary clinic.
  • Order and coordinate lunch delivery for clinic participants.


Minimum Qualifications:



  • Education: High School or GED
  • Experience: One year of clinical office/hospital experience. Report generation experience with typing skills of 30 WPM.


Preferred Qualifications:



  • Bachelor's degree preferred, especially in a healthcare, science, or related field.
  • Prior experience in a clinical or healthcare support role is strongly preferred.
  • Comfortable working with electronic medical records (EPIC experience is a plus).
  • Familiarity with family history tools such as Progeny
  • Genetic counseling background and/or experience
