Job Overview
The Administrative Assistant serves as a key member of the operational support team, providing administrative and financial assistance to NAVFAC (Naval Facilities Engineering Systems Command). The role will support four primary areas of responsibility: financial management, cost estimating, vendor relations, and the preparation of federal government proposals. Responsibilities
Essential Duties and Job Functions
- Manage daily office operations including correspondence, scheduling, document preparation, and filing systems.
- Serve as the primary point of contact for internal and external stakeholders.
- Coordinate meetings and maintain executive calendars.
- Process and distribute incoming and outgoing mail and communications.
- Maintain office supplies inventory and place orders as needed.
- Process accounts receivable including generating invoices, tracking payments, and following up on outstanding balances.
- Manage accounts payable functions including processing vendor invoices, verifying accuracy, and ensuring timely payment.
- Reconcile financial statements and assist with monthly/quarterly financial reporting.
- Coordinate with accounting personnel to ensure proper documentation for audit purposes.
- Assist the Business Specialist and Pricing Manager with cost estimates for small to medium-sized projects, including labor, materials, and other project expenses.
- Assist the Business Specialist and Pricing Manager with proposal responses for NAVFAC solicitations.
- Maintain knowledge of NAVFAC procurement processes and requirements.
- Facilitate communication between project teams and vendors.

- Ability to read, understand, interpret, and apply the terms, conditions, and policies incorporated into labor contracts.
- Excellent organizational, verbal, and written communication skills.
Job Requirements
Mandatory:
- Minimum of Five (5) years office management/administrative assistant experience.
- Experience with government contracting processes, preferably with DoD/Navy.
- Skill with a variety of software to include at a minimum: MS Word, MS Excel, MS Power Point, MS Outlook, and Adobe Acrobat Pro.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a deadline-driven environment.
- High School Diploma or equivalent.
- Must possess and maintain Valid CA State Driver's license with acceptable driving record.
- Must be able to pass background check and drug screen.
Preferred:
- Bachelor's degree in business or accounting.
- Experience with cost estimation.
- Experience with proposal management software.
- Background in construction, facilities management, or related fields relevant to NAVFAC contracts.
Physical Requirements:
- Work is typically sedentary performed in an office setting.
- Incumbent should be able to sit for extended periods of time.
- Must be able to stand, walk, talk, hear and write.
- Occasional lifting, handling, or shifting of objects weighing up to 35 pounds may be required.
