Job Description

PURPOSE AND SCOPE:

The Part-Time Coordinator I, TRIO Student Support Services facilitates day-to-day operations within assigned area of specialty, participating in planning, development, evaluation, and improvement. Assists with ensuring smooth and efficient operations. Coordinates logistics, services and support surrounding program and maintain compliance with policies, procedures, and a variety of local, state, and federal regulations. Responsible for coordination of support functions such as scheduling, communications, workflows, supplies, information processing, and staff support. May be responsible for coordinating budget planning process and for tracking and coordinating budget expenditures. The Coordinator will resolve problems that arise from students, faculty, and staff handle sensitive and confidential records, assist with budget issues, and act as a liaison on behalf of their assigned supervisor. Makes and communicates process decisions based on best practices.

This is a temporary, grant-funded position. Continuation of the position from one academic year to the next is dependent upon continued grant funding.

ESSENTIAL JOB FUNCTIONS:

  1. Performs a variety of administrative and operational support functions for assigned department. This may include but is not limited to: creating and monitoring a variety of reports; making travel arrangements and completing related paperwork; maintaining a variety of records and information/data for supervisor's review; ensuring all action items and resulting documents are processed/finalized appropriately; sorting and prioritizing mail; maintaining calendars; planning, scheduling and coordinating a variety of meetings (individual and group)
  2. Creates and submits a variety of reports related to assigned department and maintains compliance of processes and documentation. Performs research and analysis to assists with preparation and presentation of findings. May make presentations at various levels both internally and externally
  3. Orders and monitors resources such as office supplies (technology, promotional items, food, and beverages for meetings/events, etc.) Processes purchase orders and P-card purchases for the assigned department. Submits requisitions and follows up with reconciliation documentation
  4. Coordinates with internal and external executive-level staff to accomplish moderately complex activities such as identifying and scheduling outside speakers and developing agendas or recreational programs for meetings and events. Assists with and attends a variety of meetings, committees, and events. Takes minutes and disseminates information to all relevant constituents as needed
  5. Assists with training and monitoring of department staff. Schedules and prioritizes work activities and develops and organizes training materials
  6. Assists with evaluation of programs and makes recommendations for revisions to processes and procedures, with a focus on continuous departmental/process improvement. Assists with development of new programs
  7. Actively maintains up-to-date knowledge of area
  8. Coordinates and manages various department and management calendars and schedules. Assists with planning, schedules, and coordinates various meetings/seminars/events, including site selection and preparation, marketing and training materials, and general support
  9. Monitors and maintains website for department and external use
  10. Assists with entering and tracking the department budget
  11. Takes part in special projects as needed
  12. Responsible for other reasonable related duties as assigned

KNOWLEDGE, SKILLS, AND ABILITIES:

PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.

WORK SCHEDULE & CONDITIONS:

  • Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment
  • Interface with internal and external contacts as needed to carry out the functions of the position
  • Work is performed in a climate-controlled office with minimal exposure to safety hazards
  • Works some evenings and weekends

REQUIRED QUALIFICATIONS:

  • Associate degree or higher and at least 1 year of experience, or an equivalent combination of education and experience

PREFERRED QUALIFICATIONS:

  • Bachelor's degree
  • Experience working with disadvantaged students from diverse backgrounds
  • Experience working in higher education
Salary

Hourly Pay Rate is $17.06
