Job Description

We are seeking a collaborative, detail-oriented, and proactive Recruiting Coordinator to support the Executive Talent Acquisition (TA) team in the US. In this high-visibility role, you will provide critical support in candidate engagement, interview scheduling, and overall coordination for executive-level talent interviews at Visa. You will work closely with Executive TA Researchers and Recruiters, supporting the candidate coordination lifecycle to ensure a seamless experience for candidates and stakeholders. Your responsibilities will include managing data and systems, coordinating complex interview scheduling, driving compliance throughout the hiring process, and supporting candidates throughout their journey.

Strong communication skills and a collaborative mindset are essential, as you will work closely with the Executive Recruiting team, business leaders, people operations, and candidates. Excellent organizational skills and the ability to adapt to changing priorities are key to success in this role. You will leverage existing talent acquisition tools and stay up to date on new systems to help continuously improve our processes. We are seeking an organized, tech-savvy, and proactive professional who is passionate about delivering an outstanding experience for both candidates and stakeholders.

Responsibilities:

  • Schedule virtual and on-site interviews for executive talent, including coordination with internal partners and their teams. While most scheduling will be for US-based positions, some searches may require coordination across global regions.
  • Deliver a first-class candidate experience by providing prompt follow-up, supporting all aspects of the interview process, and maintaining clear communication with executive candidates.
  • Serve as a point of contact and in-person liaison for executive candidates visiting our Austin office.
  • Support operational tasks such as creating and updating executive requisitions in Workday, managing conflict-of-interest forms, initiating background checks, and partnering with internal preboarding teams to ensure successful onboarding.
  • Build and maintain relationships, serving as a trusted point of contact for candidates and internal partners.
  • Track candidate and role data to ensure accurate records for the Executive TA function, supporting compliance with Visa's hiring standards.
  • Support the management and distribution of confidential information for both internal and external candidates, always maintaining confidentiality and discretion.
  • Prepare and distribute internal reports such as interview schedules, candidate feedback, progress updates, and other materials for internal partners.

This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.

Qualifications

Basic Qualifications:

* 1 or more years of relevant work experience with a Bachelor's Degree, or equivalent combination of education and experience.

Preferred Qualifications:

* 2 or more years of work experience with a Bachelor's Degree, or 1 or more years of work experience with an advanced degree (e.g. Masters, MBA, JD).

* Strong written and verbal communication skills.

* Strong interpersonal skills with an ability to build relationships across the organization.

* High attention to detail and strong organizational skills.

* Ability to manage multiple priorities and support projects in a fast-paced environment.

* Collaborative, patient, and eager to learn. A supportive team member who thrives in a deadline-driven environment and can work effectively within a geographically dispersed team.

* Proactive, reliable, and flexible problem solver with a willingness to take initiative.

* Comfortable with ambiguity and able to build trust while working both collaboratively and independently.

* Proficient in Microsoft Outlook, PowerPoint, Word, and Excel.

* Experience working with Workday and/or SmartRecruiters is a plus.

Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 67,000.00 to 94,750.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
