The Role

In this role, you will be the cornerstone of our vibrant office, ensuring the workplace runs smoothly and remains both professional and inviting for all visitors, staff, and senior leadership. Your role demands sophisticated multitasking, a high sense of discretion, and the ability to anticipate and fulfill the needs of stakeholders at every level, often simultaneously.

The Main Responsibilities
  • Act as the primary liaison for all visitors, adeptly handling inquiries and seamlessly directing guests to the appropriate team members or senior executives, whether in-person or via video conference
  • Implement and oversee rigorous security protocols-including advanced digital check-in systems, visitor badge management, and meticulous compliance with workplace access controls-with particular attention to the schedules and privacy of multiple senior leaders.
  • Coordinate complex schedules and competing priorities for on-site and remote staff, including high-level meetings involving several senior leaders, sensitive guest arrivals, and confidential briefings.
  • Maintain the reception and common areas to the highest standards, ensuring they are not only tidy and functional but also suitable for hosting board meetings or executive sessions, and compliant with all health and safety regulations.
  • Facilitate comprehensive team handoffs by maintaining up-to-date, detailed digital logs, documenting critical notes, visitor records, and security incidents, with heightened awareness of confidentiality especially in interactions involving senior leadership.
  • Assist in the advanced scheduling and calendar management for multiple executives, event coordination for boardrooms, and the technical setup for hybrid meetings and high-stakes presentations.
  • Oversee and optimize supply inventories, including specialized items required by department heads and senior leaders; manage procurement and track deliveries using digital inventory systems.
  • Monitor and respond to high volumes of digital communications-emails, instant messaging platforms, and executive channels-prioritizing urgent requests, confidential inquiries, and time-sensitive communications from senior leadership.
  • Plan, organize, and execute complex onsite meetings and events, managing logistics, agendas, confidentiality requirements, and ensuring all technological and material resources align with the standards expected by multiple senior leaders.
  • Identify, propose, and implement process improvements to drive office efficiency and responsiveness, collaborating with senior leaders to ensure alignment with organizational priorities.
  • Lead and manage cross-functional office projects, balancing timelines, resources, and stakeholder expectations-often under tight deadlines and shifting priorities.
  • Mediate and resolve conflicts and issues within the office, demonstrating diplomacy, emotional intelligence, and a collaborative approach, especially when navigating competing interests among senior leaders and their teams.
  • Contribute to strategic planning and critical decision-making processes, providing direct support and insight to senior leaders and ensuring the seamless execution of organizational goals.
What We Look For in a Candidate
  • Minimum 4 years' experience in a customer-facing, administrative, or reception role within a complex, multi-stakeholder environment.
  • Exceptional verbal and written communication skills, including experience interfacing with senior executives.
  • Advanced proficiency with Microsoft 365 and digital communication tools (e.g., Teams, Zoom), as well as executive scheduling and visitor management systems.
  • Outstanding organizational skills and unwavering attention to detail, particularly when juggling multiple senior leaders' needs.
  • Demonstrated ability to prioritize, multitask, and adapt in a fast-paced, ever-changing environment with high expectations from leadership.
  • Experience with advanced scheduling, confidential visitor management, and digital supply ordering systems tailored to executive preferences.
  • Highest standards of professionalism, discretion, and customer service orientation.
  • Ability to manage confidential and sensitive information with impeccable integrity.
  • Creative problem-solving skills and an eagerness to embrace new technologies and best practices.
Compensation
This information reflects the anticipated base salary range for this position based on current national data. Minimums and maximums may vary based on location. Individual pay is based on skills, experience and other relevant factors.

Location Based Pay Ranges

$44,138 - $58,850 in these states: WA
