EXECUTIVE ASSISTANT TO THE PRESIDENT
SCHEDULED HOURS: Monday through Friday, with weekend and evening availability sometimes required.
SALARY: The salary for this position is $130,000.
ESSENTIAL FUNCTION: The Executive Assistant to the President provides high-level administrative, operational, and personal support to the President of The Shubert Organization. This position requires impeccable organizational skills, sound judgment, discretion, and the ability to juggle multiple responsibilities in a fast-paced environment. The Executive Assistant will serve as the gatekeeper and right hand to the President-ensuring that their time, priorities, and commitments are managed seamlessly, while also handling a range of confidential business and personal matters.
KEY RESPONSIBILITIES
Administrative & Executive Support
Manage the President's complex calendar, including scheduling meetings, travel, board commitments, and personal appointments.Act as the primary point of contact between the President and internal/external stakeholders.Draft, edit, and prepare correspondence, memos, reports, and presentations on behalf of the President.Coordinate meeting agendas, materials, and follow-up for internal and external meetings.Track and manage deadlines, priorities, and initiatives requiring the President's attention.
Operational & Organizational Support
Oversee travel arrangements, itineraries, and logistics for business trips.Maintain an organized filing system of documents, contacts, and reference materials.Liaise with senior leadership, staff, and board members to ensure smooth communication and alignment with the President's vision and priorities.
Personal Support
Handle personal appointments, errands, and household/vendor coordination as needed to ensure the President's personal life runs smoothly alongside professional responsibilities.Manage personal correspondence, gifts, and charitable contributions on behalf of the President.
Confidentiality & Discretion
Serve as a trusted partner to the President, maintaining the highest level of discretion in all matters.Manage sensitive information related to personnel, negotiations, finances, and personal matters with absolute confidentiality.
QUALIFICATIONS REQUIRED:
Minimum of 7-10 years of experience supporting a senior executive, ideally in the arts or entertainment industry.Exceptional organizational skills with the ability to prioritize and anticipate needs in a rapidly changing environment.Strong written and verbal communication skills; ability to draft polished correspondence and represent the President professionally.High emotional intelligence, tact and judgment when working with a large range of stakeholders.Demonstrated ability to handle confidential information with integrity and discretion.Technologically proficient (Microsoft Office suite) with strong facility in MS Outlook.Flexible, resourceful, and composed under pressure.Availability outside of regular business hours, including evenings and weekends as needed.Highly polished, professional and poised in all settings.Strong work ethic, with a proactive, can-do attitude.A passion for theater is a plus.
