Position Summary:
We have an exciting opportunity to join our team as an Administrative Supervisor.
In this role, the successful candidate will be responsible for providing administrative oversight of the NYU Langone Manhattan Cardiac Cath Lab. In this position you oversee day-to-day operations of the unit and staff, while supporting the Cath Lab clinical staff, and reporting up to central Administrative Director. You are responsible for oversight of departmental secretary staff and all associated functions.
Job Responsibilities:
- Day-to-Day management of Secretarial staff. - Provides leadership, support and works as main resource for any staff needs.
- Collaborates with referring physicians offices to assess accuracy and completeness of pre-procedure patient documentation for cardiac cath; Partners with internal NYU offices in Heart failure and other FGP Cardiology practices to ensure physician outpatient schedules and cath schedules do not conflict
- Coordinates with Admitting and Finance department to ensure all procedures are properly scheduled, financially cleared and admitted, e.g. monitor communications between the above departments regarding discrepancies in registration data such as demographic information, accurate diagnosis codes and pre certification of all the correct CPT codes
- Oversees administration of scheduling/registration system; ensures all patients and procedures are properly registered in the system; may monitor compliance with TJC Patient Safety Goal of scheduling verification
- Orients and trains new staff on procedures/processes/job responsibilities; assesses job performance and conducts annual performance reviews for staff
- Supervises daily office operations and support staff activities; manages staff schedules, determines work assignments and workflow to ensure priorities and deadlines are met; provides staff coverage as needed
- Maintains employee records as needed
- Participates in scheduled meetings relevant to scope
- Negotiates solutions to effectively resolve pre-certification issues involving professional billing, hospital finance and office staff
- Oversees departmental work queues and shared mailboxes
- Recognizes routine problems and recommends suggestions, ideas and solutions.
- Participates in on-going training/development/monitoring of staff by the office.
- Resolves all complaints and problems using independent judgment and decision making skills, to ensure patient. satisfaction and adherence to faculty practice standards.
- Establishes office procedures and communicates responsibilities and expected performance to staff.
- Authorizes attendance, schedules, and sick time changes, timekeeper for secretarial staff in Kronos system
- Resolves employee issues and addresses procedure and performance related issues in collaboration with director
- Ensures that staff comply with all regulatory guidelines. All hospital mandated training strictly enforced. All state required training monitored for completion.
- Collaboration with other departments to ensure optimal functioning. Interaction with other department such as Medical Records, Risk Management, Administration, Regulatory, Nursing Administration, Compliance, Patient Relations, and other clinical areas and departments to ensure standards and practices are maintained.

Minimum Qualifications:
- Bachelor's Degree
- A minimum of 3 years of relevant work experience or equivalent combination or training and relevant work experience.
- Ability to work in a fast paced environment.
- Good communication, interpersonal, and computer skills.
- Ability to develop and maintain effective working relationships with hospital leadership, staff, and patients.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $67,771.14 - $97,311.08 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
