PURPOSE

According to prescribed policies and procedures of the organization including all applicable state, federal and accreditation regulations and reporting to the Grants Manager, the incumbent supports the daily activities of the Grants Department by coordinating process efficiencies, ensuring accurate tracking, and facilitating effective communication across teams and stakeholders.

ESSENTIAL FUNCTIONS

  • Coordinate and maintain project management tools and trackers to monitor progress, support team collaboration, and ensure stakeholders remain informed.
  • Manage and update key data across the Foundation's platforms to ensure accurate documentation of grant-related activities.
  • Oversee compliance for awarded grants, including tracking reporting requirements, spending guidelines, and performance metrics.
  • Monitor and reconcile grant budgets, track expenditures, and collaborate with relevant teams to make necessary adjustments.
  • Act as the primary point of contact between the Grants Department and the Accounting team to facilitate accurate expense tracking and financial reporting.
  • Prepare and distribute timely reports that communicate grant-related metrics and departmental performance to internal stakeholders.
  • Support grant-related purchasing processes and maintain ongoing communication with grantees to understand and respond to their needs.

  • Must adhere to all policies, procedures, terms and conditions set forth in the National Church Residences' Employee Information Guide (EIG), the Code of Conduct, as well as any facility handbook, including but not limited to, corporate compliance, drug free workplace, safe work practices, all federal, state, local regulations and laws.
  • With respect to Resident Rights, ensure all care is provided with respect and dignity for the residents/clients, their families and the staff. Reports all complaints made by residents/clients and/or families to the appropriate supervisors, reports all allegations of abuse, misappropriation of funds/resident property and/or any other corporate compliance, drug free workplace, safe work practices, all federal, state and local regulations and laws.
  • Completes all annual education requirements timely, including but not limited to Compliance, Privacy, Security and HIPAA training and exhibits behavior as set forth by the Code of Conduct in the performance of their duties.

JOB SPECIFICATION SHEET- Grants Coordinator

Education: Bachelor's degree in Business or related field required.

Experience: 2+ years related work experience in grants administration and/or non-profit management to include budgeting, expense tracking, and financial reporting.

Mental: Must have the ability to speak, read, write and understand English, as well as the ability to make self-understood. Must possess excellent communication, comprehension, and interpersonal skills with the ability to engage effectively with external constituents and internal stakeholders at all levels.

Skills: Must have good working computer skills with basic professional computer software (Microsoft Office suite, Windows, etc.) and the capacity for learning new software systems quickly. Proficiency with grant management software preferred.

Must be self-directed with excellent organizational skills and the ability to manage tasks and assignments concurrently.

Travel: Rare - Less than 25%
