We are seeking a detail-oriented and proactive Senior Project Coordinator to support IT and scientific projects in a collaborative, fast-paced environment. The ideal candidate has hands-on experience with Microsoft Teams and its tools (Planner, Forms, OneNote, etc.), along with strong communication and organizational skills.

This role involves facilitating meetings, documenting project plans, coordinating multiple priorities, tracking execution, and ensuring effective communication across stakeholders. The candidate will also be responsible for creating and maintaining reports, risk logs, SOPs, and other supporting materials to keep deliverables on track.



Key Responsibilities:

General Coordination & Stakeholder Engagement

* Support the planning and execution of IT and scientific projects under the guidance of the senior project manager.

* Facilitate meetings with project stakeholders, ensuring agendas are followed and action items are assigned.

* Serve as a liaison between cross-functional teams to support communication and ensure alignment on deliverables.

* Schedule recurring check-ins, stand-ups, and review sessions.

* Draft and seek approval for mass email communications for updates, announcements, and action items.

Project Planning & Scheduling

* Assist in developing project schedules, milestones, and resource plans in a Microsoft Teams centric environment.

* Break down high-level tasks into actionable steps and track to completion.

* Help coordinate project kickoff and planning sessions with stakeholders.

* Document and maintain meeting outcomes, action items, and next steps.

Project Tracking & Reporting

* Update project plans and task trackers with current status, deadlines, and progress.

* Monitor deliverables against timelines, follow up with team members, and escalate risks or potential delays as needed.

* Prepare and distribute weekly status reports or dashboards.

* Maintain issue and risk logs with assigned owners and mitigation steps.

* Track project dependencies and ensure alignment across teams and tasks.

Tool Utilization & Documentation

* Leverage Microsoft Teams features (Planner, OneNote, Forms, etc.) to streamline workflows and project management.

* Build and maintain dashboards, Gantt charts, calendars, and visual aids.

* Standardize templates for tracking, reporting, and scheduling.

* Create SOPs, training guides, and internal documentation to support consistent project execution.

* Use Microsoft Excel to analyze data, track metrics, and generate reports.

Team Support & Visibility

* Ensure all team members have clear visibility into assignments, deliverables, and due dates.

* Track completion of individual tasks and follow up on outstanding action items.

* Collect updates from team members and consolidate them into reports and dashboards.

* Maintain shared project resources in Teams or SharePoint for easy access.

Required Qualifications:

* 3+ years of experience in project coordination or junior project management, ideally within IT or scientific environments.

* Proficient in Microsoft Teams and its widgets (Planner, Files, OneNote, Lists etc.).

* Experience facilitating meetings, documenting outcomes, and tracking task progress.

* Strong organizational and time-management skills with the ability to context switching for different tasks within a day.

* Excellent written and verbal communication, including experience drafting SOPs and stakeholder communications.

* Advanced skills in PowerPoint, and solid skills in Excel including data analysis and visual reporting.

Preferred Qualifications:

* Experience working in a federal government environment

* Knowledge of IT project lifecycles, Agile/Waterfall methodologies, and technical terminology. PMP and/or agile certifications

* 100% Remote but ATL candidate preferred for occasional in person meetings
