Description

Responsible for overseeing the administrative operations of the front office and middle office departments within the medical practice. Develops and implements strategies to enhance operational efficiency, staff management, improve patient satisfaction, and ensure compliance with regulatory requirements. Collaborates with various stakeholders, including the administrator, physicians, staff members, and external partners, to achieve organizational goals and objectives.

Essential Functions

Provide leadership, direction, and guidance to front office and middle office managers and all other staff members within these areas.

Set clear objectives and performance expectations for departmental teams and ensure accountability across the team.

Foster a strong communication, positive and collaborative work environment to promote employee engagement and productivity.

Conduct regular staff meetings, performance evaluations, and professional development activities such as training programs for front and middle office staff focusing on customer service, compliance, and operational protocols.

Develop and implement policies, procedures, and workflows to streamline administrative processes in accordance with Administration goals and regulatory requirements.

Monitor and evaluate the effectiveness of front and middle office operations and make recommendations for improvement.

Ensure compliance with regulatory requirements, including HIPAA, OSHA, and other relevant healthcare regulations.

Address operational challenges and resolve issues in a timely and efficient manner.

Monitor KPIs for the Front Office and Middle Office departments. Provide report to Leadership and make data-driven decision for improvement.

Oversee patient registration, appointment scheduling following doctor's order, check-in/check-out procedures, and other front office functions to ensure a positive patient experience.

Implement strategies to improve patient satisfaction, communication, and service delivery.

Address patient complaints, concerns, and feedback in a prompt and professional manner.

Oversee the implementation and utilization of EHR systems, practice management software, and other patient engagement technology solutions.

Ensure data accuracy, integrity, and security in electronic medical records and health information systems.

Stay updated on emerging technologies and trends in healthcare administration.

Requirements

Job Specifications

Typically has the following skills or abilities:

Bachelor's degree in Healthcare Administration, Business Administration, or a related field or equivalent experience. Master's degree preferred.

Minimum of 1 year of additional experience related to functional area, preferably in healthcare administration, with a focus on front and middle office operations.

Minimum of 3 years of management experience with responsibilities for hiring, training, assigning work and managing performance of direct reports.

Strong leadership skills and proven experience in managing teams and driving organizational change.

In-depth knowledge of healthcare regulations, compliance standards, and best practices.

Excellent communication, interpersonal, and problem-solving skills.

Proficiency in using electronic health record (EHR) systems, practice management software, and other healthcare IT systems.

Ability to prioritize tasks, meet deadlines, and adapt to changing priorities in a fast-paced environment.

Collaborate with physicians, clinical staff, and other departments to coordinate patient care and support interdisciplinary teamwork.

Communicate effectively with internal and external stakeholders, including patients, insurance providers, vendors, and regulatory agencies.

Facilitate cross-departmental collaboration and communication to achieve organizational objectives.

The compensation range for the role is listed below. Applicable salary ranges may differ across markets.
