Position Summary:
We are seeking an experienced and hands-on Payroll Manager to lead payroll operations across a multi-state, multi-entity environment. Reporting to senior HR leadership, this role balances day-to-day payroll execution with team leadership, while also contributing to process improvements, system transitions, and integration work tied to growth initiatives.

Key Responsibilities:
  • Manage payroll for ~1,500+ employees across multiple U.S. states and select international locations.
  • Oversee accurate and timely processing of bi-weekly and monthly payrolls.
  • Ensure compliance with all applicable payroll tax regulations and reporting requirements.
  • Lead a small team of payroll professionals, providing mentorship, training, and day-to-day oversight.
  • Partner cross-functionally with HR, Finance, and external providers to deliver seamless payroll operations.
  • Support organizational growth initiatives including acquisitions, integrations, and new program rollouts.
  • Administer a variety of incentive programs such as bonuses, commissions, and retention awards.
  • Contribute to payroll controls, audits, and reconciliations to ensure compliance and accuracy.
  • Drive process improvements and prepare for future system enhancements.

Qualifications:
  • 5+ years of payroll experience, including at least 2+ years in a leadership or supervisory capacity.
  • Proven expertise in multi-state payroll processing and payroll tax compliance.
  • Certified Payroll Professional certification strongly preferred (or willingness to pursue).
  • Hands-on leadership style with the ability to mentor and develop team members.
  • Experience navigating payroll through organizational change, integrations, or acquisitions.
  • Strong analytical skills and attention to detail, with the ability to adapt quickly to change.
  • Excellent collaboration and communication skills across functions and with senior leadership.

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
