The Assistant Director for Academic Programs will work with the director and other unit staff to support the governance process in relation to academic proposals at the course and program levels. This includes contributing to the development and review of proposals, communicating with academic departments about their proposals, and facilitating the progress of proposals through different levels of governance, ensuring compliance with institutional, state, and accrediting body requirements. In these roles, the assistant director will need to be able to maintain accurate reporting and documentation, communicate clearly, coordinate with other campus offices and systems, and employ effective writing and editing skills.

Duties & Responsibilities:

Course and Program Requests
  • Review and edit course requests to ensure compliance with university and campus guidelines.
  • Process course changes in Banner and the Course Request System; participate in Banner update activities.
  • Review and edit proposals as assigned related to academic programs and academic units.
  • Advise faculty and staff in colleges on educational policy and procedural requirements in relation to these proposals.
  • Coordinate with campus partners (e.g., Registrar, Transfer Articulation and Degree Audit, Catalog) to ensure accuracy and alignment of course and program information.

Meeting Preparation and Communications
  • Prepare and maintain the calendar of academic governance meetings in consultation with university and system-level stakeholders.
  • Assemble, format, and distribute materials for governance bodies, including the Senate Committee on Educational Policy (SCEP), General Education Council, UIC Senate, and University of Illinois Board of Trustees.
  • Maintain and update the webpages for the Office of Academic Programs and SCEP, including in relation to resources, templates, and procedural guidance used across campus._

Reporting and Documentation
  • Collect, organize, and submit data for required reporting activities (e.g., Illinois Board of Higher Education [IBHE] inventory, suspended/inactive program monitoring, NC-SARA out-of-state learning placements).
  • Maintain accurate and up-to-date office databases, records, and reports to ensure compliance and accessibility.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

  1. Bachelor's degree.
  2. One (1) year of experience in curriculum development and/or implementation, academic advising, or instructional design.
Preferred Qualifications:
  • Minimum of three years of experience in higher education, academic program development, or a related field.
  • Excellent attention to detail and commitment to accuracy.
  • Strong organizational and project management skills, including the ability to work independently, manage multiple projects, and meet deadlines.
  • Strong analytical skills with the ability to solve problems independently.
  • Excellent interpersonal, written, verbal communication, and presentation skills.
  • Proficiency in Microsoft Office Suite with advanced skills in Word, Excel, and PowerPoint.
