About the Job

This position provides administrative coordination for multiple education programs within the Department of Psychiatry and Behavioral Sciences, including the non-accredited Neuromodulation Medicine Fellowship, the ACGME-accredited Forensic Psychiatry Fellowship (court and billing services), and the Psychiatry Residency didactics program. The coordinator works closely with program directors, fellows, residents, faculty, and institutional offices to ensure efficient program operations, compliance with accreditation and institutional policies, and support of educational activities. The position requires initiative, attention to detail, and the ability to manage complex administrative processes independently.

This is a hybrid position, with a current expectation of a minimum of one day on-site per week.

Forensic Fellowship Court Services & Billing Administration (45%)
Court Service Administration
* Manage scheduling of defendants and examiner record requests, ensuring timely processing and accurate documentation.
* Maintain tracking systems for requests and reports.
* Communicate with court personnel, examiners, and program staff regarding scheduling and documentation requirements.
Billing and Financial Administration
* Manage Examiner Record Accounting (ERA) billing system and associated work orders.
* Prepare and submit invoices with attention to detail and accuracy.
* Monitor work order status, resolve invoice denials, and track past-due payments.
* Ensure all billing activities comply with institutional policies and confidentiality standards.

Assistant Residency Coordinator (45%)
* Coordinate and maintain the Psychiatry Residency didactics curriculum, including weekly educational conferences and annual events.
* Partner with the Residency Administrator, Program Director, and Chief Residents on annual curriculum review, scheduling, and compliance tracking.
* Manage evaluation processes and reporting using dashboards and databases.
* Track attendance and ensure compliance with ACGME and departmental requirements.
* Communicate effectively with faculty, residents, and administrative staff to support program goals.

Neuromodulation Medicine Fellowship Coordinator (10%)
* Coordinate day-to-day administrative activities of the Neuromodulation Medicine Fellowship, serving as a primary resource for the Program Director and fellows.
* Manage recruitment, onboarding, and annual rotation scheduling.
* Coordinate seminars, lectures, and meetings.
* Oversee evaluation processes and maintain records in accordance with UMN GME and institutional policies.
* Serve as liaison between faculty, trainees, and affiliate training sites to ensure smooth communication and compliance.

Qualifications

Required Qualifications:
* BA/BS degree or combination of related education and work experience in medical or medical education settings equal to four years
* Strong communication (oral and written), interpersonal, and organizational skills with keen attention to detail.
* Demonstrated ability to manage multiple priorities in a fast-paced environment.
* Experience handling confidential and sensitive information with discretion.

Preferred Qualifications
* Experience working in higher education or medical education administration, preferably with ACGME-accredited programs.
* Working knowledge of Residency Management Systems (RMS), ACGME, and the American Board of Psychiatry and Neurology requirements.
* Strong Excel and data analysis skills.
* Demonstrated ability to collaborate effectively across all levels of an organization, including leadership, faculty, trainees, and staff.
* Proficiency with Google Suite and Microsoft Office applications.

Pay and Benefits

Pay Range: Salary range is $58,000 - $60,000, depending on education/qualifications/experience
