The Accounting Specialist's prime responsibility is to process and pay Trades and/or Consultant invoices, process and manage certified payroll reporting and process weekly payroll. This position requires a detail-oriented individual with a background in accounting-a team player who is accountable, reliable, and self-motivated.

Responsibilities

Accounts Payable



  • Manage AP email.
  • Enter Trades and Consultant invoices into Microsoft SL Dynamics
  • Review invoices for missing project information (Consultants).
  • Review and process vendor auto-pay ACH's and post payments into the system.
  • Request approvals for all invoices from managers/project managers.
  • Issue payments during weekly check run for both Trades and Consultants
  • Sort invoices and check copies in the AP vendor files.
  • Resolve issues relating to AP such as invoice errors, over-charges, and vendor issues.


Miscellaneous



  • Reconcile petty cash accounts.
  • Manage collection of weekly PDF timecards.
  • Manage DOL Federal Apprentice certificates and DIR State Apprentice certificates.
  • Assist the Accounting Manager with audits, tasks, and other projects as needed.



Education/Experience



  • High School diploma.
  • General knowledge of computers, Microsoft office, Adobe, Internet, etc.
  • Organized, punctual and reliable.
  • Excellent verbal and written communications skills.
  • Ability to multitask in a fast-paced environment.
  • Strong attention to detail.



Physical Requirements



  • Ability to sit for extended periods of time at a desk and work on a computer.
  • Ability to occasionally stand, walk, reach, bend, or lift objects up to 15 pounds (e.g., files, office supplies).
  • Manual dexterity to operate standard office equipment, including computers, phones, printers, and scanners.
  • Visual ability to read documents, spreadsheets, and computer screens.
  • Ability to communicate clearly and effectively in person, over the phone, and via digital platforms.
  • Ability to occasionally travel to other offices (e.g., internal meetings or trainings).
