Job Description

This position will support Saltchuk Marine's Legal Department on a wide variety of matters and projects. In particular, this position will provide legal and administrative support to Saltchuk Marine for both vendor and customer contracts, including facilitating and supervising vendor, customer, and internal stakeholder set-up in Saltchuk Marine's contract management systems, and assisting with contract review and management. This position will also assist with selection and manage implementation of a contract management platform; maintain contract documents and correspondence; and respond to internal and external contract requests under the supervision of counsel. Saltchuk Marine is currently in a period of significant change and the best candidates will be prepared to support those changes and can expect an evolving list of functions as opportunities arise and needs change. Reports directly to the Associate General Counsel.


Essential Functions:


Legal Contract Support



  • Serve as a point of contact for contract queries to all internal and external stakeholders.
  • Manage intake of all contracts via a variety of intake methods and conduct correspondence with all stakeholders regarding status of contract requests.
  • Conduct thorough initial review of contracts in relation to internal legal thresholds, criteria and risks.
  • Assist with contract review and negotiations (including drafting and interpreting basic agreements and scopes of work) under an attorney's supervision.
  • Track all contracts through the contract lifecycle, including drafts, modifications, executions, amendments, renewals, and terminations.
  • Assist with RFP development and review.
  • Review certificates of insurance for compliance with contract requirements.
  • Summarize contracts and manage timelines for review, approvals, and termination of various corporate contracts.
  • Proofread and perform administrative functions in connection with various legal documents and handle signing execution.
  • Conduct simple compliance review generally for employment law issues, data security & business codes of conduct.
  • Draft simple template form documents.
  • Maintain contract templates.
  • Contracting Process Improvement
  • Collect and track monthly contract spend and report on Legal Department contract support KPIs.
  • Identify process areas for automation and collaborate with internal stakeholders to implement solutions, including a contract management platform.
  • Assist with selection and manage implementation and maintenance of a contract management platform.


Procurement Support



  • Facilitate new supplier setup requests.
  • Assist in addressing supplier compliance issues identified by Quality Assurance, General Managers, and others.

Knowledge Skills and Abilities:



  • Experience with SAP, SAP Hana and Ariba preferred.
  • Extensive knowledge of Microsoft Office required. Advanced Excel and Access skills preferred. Must be able to learn to use unfamiliar systems and software with ease.
  • Ability to communicate clearly and effectively both orally and in writing with peers, management and outside counterparties.
  • Ability to maintain good relations with internal clients to ensure effective response to requests. Ability to work closely with line and staff personnel in order to establish and meet personal goals that are consistent with Company goals.
  • Knowledge of personal computer and applications such as Microsoft products (Word and Excel) in a Windows-based environment.
  • Good understanding of managerial and financial accounting principles.
  • Comfortable with ambiguity and working in an ever-changing environment while able to exercise sound judgment in decision-making
  • Strong organizational ability and a demonstrated track record of managing urgent projects concurrently.
  • Able to work independently without close supervision.
  • Able to speak concisely and to write clearly.

Minimum Qualifications:


Bachelor's Degree or equivalent is required. Three years of relevant experience working in a law firm or corporate in-house legal department setting is required.


Compensation:


Pay for this position will be between $28.13 and $42.19 hourly. This is a non-exempt position that is eligible for overtime.
