Position Summary

JOB DESIGNATION

Facilities Coordinator supports the day-to-day operations of our FSPSD, Simi Valley site. This role ensures our buildings, workplace services, and critical infrastructure run smoothly, safely, and efficiently. Coordinates maintenance activities, manage vendors, track work orders, support moves and events, and partner closely with Facilities team to deliver an outstanding employee and visitor experience.

JOB CORE RESPONSIBILITIES

  • Work Order Management
    • Triage, prioritize, assign, and close work orders in the CMMS; meet SLAs and track KPIs.
    • Schedule and follow up on preventive maintenance (PM) to ensure completion and documentation.
  • Vendor & Contractor Coordination
    • Source quotes, create POs, schedule service, supervise onsite work, verify scope completion.
    • Maintain vendor performance metrics, safety compliance, and insurance/COI records.
  • Building Operations Support
    • Assist with daily inspections of common areas, mechanical rooms, and life safety equipment.
    • Coordinate routine maintenance for HVAC, electrical, plumbing, and general repairs with licensed professionals.
  • Safety, Compliance & EHS
    • Support OSHA, fire/life safety, and local code compliance; maintain logs and permits.
    • Support EHS in coordinating drills, incident reporting, risk mitigation, and corrective actions.
  • Workplace Services
    • Oversee conference room readiness, break rooms, coffee stations, janitorial, waste/recycling.
    • Support access/badging requests and partner with security as needed.
  • Moves, Adds, Changes (MAC) & Space Planning
    • Maintain seating charts and occupancy data; coordinate employee moves and reconfigurations.
  • Budgeting & Administration
    • Track expenses, reconcile invoices
    • Maintain SOPs, site playbooks, service level agreements, and compliance documentation.
  • Event & Emergency Support
    • Provide onsite support for events and company meetings.
    • Participate in on-call rotation; respond to after-hours emergencies when required.
  • Continuous Improvement & Sustainability
    • Support Kaizen events
    • Support energy management and sustainability initiatives.

JOB SPECIFICATIONS

  • Education: High school diploma or GED.
  • Experience: 2-5 years in facilities coordination, workplace operations, property management, or related role.
  • Certifications (preferred): OSHA 10/30, First Aid/CPR.
  • Knowledge:
    • Basic understanding of building systems (HVAC, electrical, plumbing, fire/life safety).
    • Familiarity with local building codes, OSHA/EHS requirements, and vendor management best practices.
  • Skills and Competencies

    • Strong organization and prioritization skills; able to manage multiple concurrent tasks.

    • Excellent communication and customer service mindset.

    • Data-driven approach with attention to detail; comfortable with metrics and reporting.

    • Problem-solving and collaboration across cross-functional teams.

    • Ability to read basic floor plans, equipment manuals, and maintenance schedules.

    • Comfortable working independently and making sound decisions under time pressure.

  • Tools and Technologies

    • CMMS/Work Order Systems: Hexagon, eMaint, or similar.

    • Productivity: Microsoft 365; Excel/Sheets proficiency.

    • Procurement and invoicing platforms; SAP experience preferred

    • Badging/access control systems experience is beneficial.

  • Physical Requirements and Work Environment

    • Regularly walk the facility; stand, bend, and lift to 35 lbs. as needed.

    • Occasional ladder use and work in mechanical spaces; adherence to PPE requirements.

    • Primarily onsite role with frequent interaction with vendors and building staff.

  • Schedule and Travel

    • Typical schedule: Monday-Friday, standard business hours, with flexibility for OT, events or maintenance windows.

    • On-call rotation for emergencies may be required.

    • Limited local travel between nearby sites may occur.

Competitive Compensation

  • Pay Range: $23.75/hr to $39.55/hr
  • Participation in Annual Incentive Program
