Position Highlights

The University of Arizona Student Unions is looking for an experienced Retail Manager to oversee the day-to-day operations of two business units, Fast Copy and UA Passports, located at the Student Union Memorial Center. The manager will be responsible for driving all business decisions for Fast Copy to include setting revenue and programming goals, monitoring and controlling budget metrics, managing retail vendor agreements, creating and executing new marketing opportunities in a changing print environment. This role supervises 3 FTE staff plus student employees. The manager will also oversee UA Passports, a Passport Application Acceptance Facility authorized by the U.S. Department of State, providing direction, training, and support to ensure that applications are processed in accordance with DOS guidelines and that all customers are treated with professionalism and kindness. This role oversees 2 FTE Agents and additional student employees.

Duties & Responsibilities

Customer Service:

  • Train, manage, and develop a diverse group of FT and student employees.
  • Maintain confidentiality when working with Personally Identifiable Information.
  • Develop and maintain positive working relationships with clients and vendors.
  • Manage multiple staffing schedules with complex availability structures.
  • Ensure positive customer experience using customer service skills including de-escalation.
  • Communicate effectively in person and in writing.
  • Use critical thinking to identify and resolve problems.

Manage day-to-day administrative activities:

  • Establish goals and objectives, develop and implement policies and procedures to improve retail operations, customer service and programming activities.
  • Plan and administer department budget, forecast revenues and expenses, and prepare financial reports.
  • Solicit and evaluate proposals for equipment and services.
  • Attend biweekly management meetings and serve on key Student Union committees as needed.
  • Perform basic/intermediate analytics utilizing data acquired through operational software/systems.
  • Use market research to ensure equipment and products are effectively sourced.
  • Monitor and maintain a large inventory of products and supplies.

Manage and drive day-to-day operational activities:

  • Follow and uphold strict government policies and procedures.
  • Create and maintain a well-organized filing system.
  • Manage and maintain a complex appointment scheduling system such as Calendly.
  • Track and manage projects using project management/CRM software such as Airtable, Monday.com, or Asana.
  • Oversee use and maintenance of printing equipment, post-press bindery and lamination equipment.

Knowledge, Skills and Abilities:

  • Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, Teams, OneDrive).
  • Familiarity with Adobe Creative Cloud Suite (InDesign, Acrobat Reader, Illustrator).
  • Familiarity with Canva and other cloud-based design platforms.
  • Basic or Intermediate knowledge of low-code platforms.
  • Knowledge of copyright laws and a understanding of how to obtain copyright permissions/royalties.
  • Working knowledge of the passport acceptance process as outlined by the U.S. Department of State.

Physical Requirements:

  • Must be able to occasionally lift, transfer, move a maximum of 50lbs.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Three years of related work experience or equivalent combination of education and work experience required.
  • Must have a valid driver's license and ability to drive according to the University Fleet Safety Policy.
