Job Summary

Under the direction of the Department Chair, coordinates and administers the operational and financial activities associated with the Multidisciplinary Engineering and Computing Education, Systems and Management Department (ESM), to include academic & student program planning, implementation, and evaluation. Coordinates and assists with maintaining records for ACCE and SACS accreditation. Collaborate with CEC Finance to monitor the ESM budget, and expenditures.

  • Under the direction of the Department Chair coordinates all matters related to the department operating budget. Alongside the Department Chair, monitors all the Department budget and expenditures. Works with CEC Finance on account reconciliations. Provides documentation to CEC Finance to processes all Foundation reimbursements. Prepares periodic expense and activity reports on the Department progress. Serves as Fiscal liaison for the Department.
  • Interprets University, SUS, and departmental policies and procedures to faculty and staff.
  • Recommends policies and procedures to the Department Chair.
  • Serves as the University's credit card user for departmental transactions. Adheres to university's credit card policies and procedures. Maintains record of requisitions and credit card transactions. Provides details on transactions as needed for account reconciliation and reporting purposes. Compiles, submits and follow-up expense reports for faculty and students.
  • Prepares requisitions, TARs, and travel reimbursements.
  • Assigns, monitors, supervises, and evaluates duties and responsibilities of supporting staff and temporary personnel.
  • Assists the Chair in recruiting the Adjuncts and submits credentialing requests for teaching faculty before assigning courses. Verifies the feasibility of the class schedules and enters the schedules in the system.
  • Serves as the proxy approver for the Department Chair on Human Resources-related transactions. Assists with the logistics associated with hiring and terminating new employees for the Department. Supervises temporary personnel.
  • Provides academic-related data and departmental metrics to generate reports as needed.
  • Acts as a liaison between the Department and the Dean's office to support the execution of the construction and/or maintenance projects. Prepares minor project requests, work orders and requisitions as needed to complete the projects. Follows up on expected deliverables through the process until the project is completed.
  • Assists with the development, coordination, and implementation of undergraduate and graduate programs. Responsibilities would include preparation of class schedules and documentation of faculty and adjunct assignments. Serves as liaison for graduate and undergraduate student affairs for the Department.
  • Exercises good judgment in dealing with confidential student and faculty/staff data so as not to violate any state or federal law or policy.
  • Assists the chair with the generating of various reports. Prepares or assists with the preparation of agendas, presentations, reports, memos, letters, and announcements. Reviews, composes, and responds to mail, email requests, and other correspondence as appropriate on behalf of the Chair. Determines matters requiring the immediate attention of the Director and submits to the Chair for review. Answers telephone calls, emails inquiries, and responds to them or takes messages to route to the appropriate person. Responds to information requests with the highest level of confidentiality.
  • Provides assistance to the Chair. Maintains the Chair's calendar and schedule, meetings, and events. Provides logistical support for all meetings and events including traveling arrangements for visitors. Records and distributes minutes of meetings. Receives requests and reserves conference rooms for the department using the University's room reservation system.
  • Coordinates all recurring events in the Department including graduations, lecture series, career expo, etc. as well as other non-recurring events such as conferences and seminars.
  • Performs administrative duties supporting instruction/training, including matters such as coordination for accreditation visits.
  • Provide assistance to faculty members and students in the department and interacts with the public, students, faculty from FIU, other universities, industry, and community.
  • Coordinates enrollment activities, and ensures accurate placement of students in the course sections. Assists with the coordinator and implementation of graduate program activities such as orientation, student forums and meetings.
  • Works closely with the Department Chair in preparing and submitting contracts. Provides information to the Dean's Office Human Resources team for the preparation of adjuncts, overloads, student, RA, and TA contracts.
  • Serves as Public Notary for the Department. Assist Faculty, Staff and Students with notary needs, as needed.
  • Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.


Minimum Qualifications

Bachelor's degree and two (2) years of office or related experience.
