Client: Construction Firm
Role: Project Accountant (Temporary) - 3 to 5 months, with the opportunity to extend based on performance.
Pay Rate: $35-45/hr

Location: Long Island City, NY (*5 days a week onsite*)

Job Description:
Project Financial Management & Billing
  • Full-Cycle Invoicing: Prepare complex monthly AIA billing, "Time & Materials" (T&M), and "Stipulated Sum" client invoices with high attention to detail.

  • WIP Oversight: Reconcile Work in Progress (WIP) accounts, maintaining all supporting documentation and electronic project files on the shared network.

  • Lien & Compliance: Prepare client waivers of lien and required statements to ensure legal and contractual compliance.

  • Reporting: Produce monthly project billing schedules and financial status reports for company-wide WIP updates and project team meetings.

Accounts Payable & Subcontractor Management
  • Subcontractor Integration: Process subcontractor AIA documents, material invoices, and order forms into Sage.

  • Compliance Tracking: Review and enter subcontractor insurance data, ensuring all records are accurate and up-to-date before payment.

  • Payment Cycles: Manage the AP pending invoice register; coordinate with Project Managers (PMs) for approvals and select job-related invoices for weekly check runs.

  • Aging Resolution: Investigate and resolve discrepancies in accounts payable aging to maintain strong vendor relationships.

Data Integrity & Project Setup
  • System Initialization: Partner with Project Managers to review setup forms, enter contract data, and establish new jobs within Sage.

  • Change Management: Maintain the integrity of client accounts by accurately tracking change orders and estimate adjustments.

  • Data Accuracy: Audit financial data for subcontractors and clients to prevent errors in reporting or billing.

Collaboration & Support
  • Collections: Monitor AR aging and collaborate with PMs and clients to expedite collections and resolve payment hurdles.

  • Audit Readiness: Assist in compiling essential data for year-end financial statement reviews and audits.

  • Team Support: Provide ad-hoc administrative and financial support to the project team as directed.

Determining compensation for this role (and others) at Vaco by Highspring depends upon a wide array of factors including but not limited to:

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
