UCF Health Physical Therapy:

The University of Central Florida (UCF) College of Health Professions and Sciences (CHPS) is home to nationally recognized programs focused on health and wellness and a respected faculty dedicated to teaching innovations and research partnerships. The college offers degree programs in health sciences, athletic training, communication sciences and disorders, physical therapy, kinesiology and social work. Through coursework, field experience, and interprofessional education, our students develop high-demand skills in healthcare and cultural competency for working with a wide variety of populations.

The Opportunity:

The Health Office Manager for UCF Health Physical Therapy is responsible for daily operations of the UCF Health Physical Therapy Clinic at Student Health Services and the UCF Innovation Center. The Health Office Manager provides non-clinical administrative functions to support the Clinic Director and additional provider staff. This position also oversees operational functions including patient registration, medical record management, revenue cycle, patient accounts, and the management of Federal Work Study staff.

Responsibilities:

Clinic Operations & Patient Coordination:



  • Oversees daily operations and comprehensive administrative support for the UCF Health Student Health Services and Innovation Center Physical Therapy Clinic, ensuring a seamless experience for patients and treating providers.

  • Manages the end-to-end new patient coordination process, including complex registration, insurance verification, strategic scheduling, and point-of-service payment collection.

  • Serves as the primary point of contact for handling complex and escalated patient concerns, providing financial counseling, and resolving billing or service complaints with professional diplomacy.




Financial Oversight & Workday Administration:



  • Conducts rigorous reconciliation of all payments (remote check deposits, credit card transactions via Blue Fin, and cash).

  • Audits provider documentation to ensure accuracy and facilitate timely weekly billing.

  • Acts as the primary departmental user for Workday, managing all inventory procurement, expense reporting, and invoice payments in alignment with university fiscal policies.

  • Performs monthly clinical analysis and reporting through TheraPlan and Open PM Billing, tracking KPIs such as insurance aging, provider productivity, patient volume, and referral trends.




Leadership & Student Program Oversight:



  • Manages the full lifecycle of Federal Work Study (FWS) students (3-5), including recruitment coordination with the HRBC, onboarding, training, attendance tracking, and conducting formal performance reviews.

  • Directs the Student Observer Program, managing the scheduling, placement, and tracking of approximately 20 undergraduate students per semester to ensure they meet clinical hour requirements for their degree programs.

  • Proactively identifies, develops, and implements process improvements for clinic operations to enhance administrative efficiency and patient flow.




Compliance & Regulatory Governance:



  • Develops and maintains clinic policies regarding health document submission, student database management, and electronic health record (EHR) storage.

  • Ensures strict clinic-wide compliance with HIPAA guidelines, Medicare regulations, and Board of Governors standards to maintain the security and confidentiality of student/patient information.

  • Facilitates and tracks outgoing and incoming referrals, maintaining professional relationships with coordinators from other clinical units and external healthcare providers.




Minimum Qualifications:

High School Diploma or Equivalent and 6+ years of relevant experience or a Bachelor's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:



  • 2-4 years of experience in a medical office or clinical administrative setting.

  • Deep proficiency in Electronic Medical Records (EMR) systems and advanced medical scheduling software.

  • Expertise in revenue cycle management, specifically in insurance verification, medical billing processes, and accounts payable.

  • Proven ability to manage medical inventory orders.

  • Demonstrated ability to lead staff, mentor work-study students (3-5), and conduct formal performance reviews.




The most successful candidates may possess the following qualities:



  • Comprehensive knowledge of HIPAA compliance and Medicare regulations, ensuring all office actions meet federal and state standards.

  • Superior interpersonal skills with the ability to convey complex information clearly to patients and clinicians alike.

  • High-level mastery of Microsoft Office Suite and familiarity with Workday functionality for HR or financial tasks.

  • Ability to manage competing priorities and maintain composure in a high-volume, fast-paced environment.




Special Instructions to the Applicants:



  • The anticipated salary range for this position is $42,367- $46,000. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.

  • This is an Auxiliary (AUX) funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.

  • Applicant must be authorized to work for any U.S. employer, as sponsorship is not available for this position.
