The Opportunity:

The Facilities and Business Operations, Housekeeping team is seeking a motivated and detail-oriented Administrative Assistant III to join its team. This role provides daily operational support of office functions and provides administrative, project, and professional support of a highly varied, and responsible nature within the Housekeeping, Housing and High Performance Work Team services unit.

Responsibilities:


  • Coordinate development, implementation, and interpretation of operating procedures, best practices, and scheduling. Support departmental and university goals through project and office operations. Create and update departmental manuals, guidelines, Standard Operating Procedures, and handbooks.

  • Perform monthly budget reconciliations and make routine purchases per UCF guidelines. Track invoices and enter them into the university financial system.

  • Maintain office supply inventory and assist in preparing competitive solicitation documents. Serve as property custodian: track, record, and process physical assets (vehicles/equipment) per university standards.

  • Compile data, KPI metrics, and qualityassurance information; maintain databases. Support program assessment activities, including Institutional Effectiveness (IE) Plan materials and Annual Reports.

  • Develop and facilitate unit staff meetings, preparing agendas and presentation materials. Schedule unit meetings and key events; distribute relevant communications.

  • Assist with interview scheduling, hiring, training, and on-boarding. Manage employee uniform and safety shoe issuance/tracking. Maintain staff records, including tracking annual performance appraisals. Send unit notifications such as schedule changes and meeting notices.


Minimum Qualifications:

High School Diploma or Equivalent and 4+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • 3+ years of administrative support experience in a complex, fastpaced environment.

  • Experience with Microsoft Office Suite, including Excel (pivot tables, formulas), PowerPoint, and Outlook calendar management.

  • Experience with budget reconciliation, invoice tracking, procurement, and/or purchasing procedures.

  • Strong organizational skills with experience managing multiple priorities, deadlines, and complex schedules.

  • Experience developing or maintaining SOPs, manuals, guidelines, or process documentation.

  • Proficiency with enterprise administrative systems such as PeopleSoft, Workday, SAP, or similar HR/finance platforms.

  • Excellent written and verbal communication skills, including experience preparing reports, presentations, and meeting materials.


Special Instructions to the Applicants:

The anticipated hourly range for this position is $20.37 to $25.48. The final rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.

Position requires a valid Class E driver's license. The position may involve driving to various locations on and off campus to conduct University business.
