Overview The Senior Specialist supports the daily operation and maintenance of the company's fleet management system (FleetWave) and related technologies, ensuring performance, security, and compliance. Key responsibilities include user account administration, system monitoring, troubleshooting, and process improvements. Acting as a subject matter expert, the role supports end-to-end fleet management business processes and workflow optimization, hardware configuration, system updates, data accuracy, documentation, and user training to maintain efficient and reliable operations.
Responsibilities
Core Responsibilities
- Perform daily software administration, including managing user accounts, access privileges, and system configurations to ensure secure and efficient operations.
- Monitor system performance and interfaces (e.g., Oracle, telematics, fuel, etc.), proactively identify and correct data errors, and resolve technical problems to maintain reliability.
- Advise on best practices for asset and work management and collaborate with internal and external teams to resolve issues and implement process improvements.
- Ensure system data and configurations meet IT security, audit, and financial compliance standards.
- Generate and maintain system reports (e.g., utilization, vehicle allocations, fuel consumption, mileage, tax, KPIs) and analyze data to support business decisions.
- Provide user support and conduct training sessions to ensure effective use of the fleet management system and related technologies.
- Oversee configuration, deployment, and support of hardware and peripheral devices (desktops, tablets, phones, scanners, label printers) across all locations.
- Develop, test, and document system changes, patches, and upgrades; maintain comprehensive documentation of system configurations and processes in collaboration with stakeholders.
Qualifications
Required Education/Experience
- Bachelor's Degree and 3 years of relevant work experience or
- Associate's Degree and 4 years of relevant work experience or
- High School Diploma/GED and 5 years of relevant work experience

Relevant Work Experience
- Demonstrated knowledge of industry standards and best practices for asset and work management processes, with experience in administrative roles using work management software, required.
- Proficient in FleetWave or similar fleet management systems, Microsoft Office Suite, and data reporting tools, with the ability to configure software tools for monitoring fleet assets and generating automated alerts, required.
- Highly organized, with strong problem-solving abilities, attention to detail, and sound decision-making skills. Capable of developing or leveraging computer code to analyze data and generate reports, required.
- Ability to clearly communicate data analysis results and translate complex insights into actionable information for stakeholders at all technical levels, required.
- Willingness to lead after-hours or weekend operations during inventory or system maintenance events, required.
- Knowledge of fleet assets (vehicles, trucks, and equipment), the operational and maintenance processes that support them, required.
- Experience overseeing fleet management for large fleets (5,000+ assets), preferred.
- Experience configuring software tools to monitor fleet assets and provide automated alerts of detected anomalies, preferred.

Physical Demands
- Ability to respond to system emergencies
- Able to work in all weather conditions, i.e. excessive heat and/or cold
- Perform extended driving through heavy traffic and severe off-road conditions
- Ability to work in adverse conditions that include, noise, confined spaces, and high elevations
- Ability to work in inclement weather and adverse conditions (i.e., excessive heat, cold, noise, confined spaces)
- Ability to be approved to wear and use either a full or half-face respirator and self-contained breathing apparatus (SCBA), without facial hair or other conditions that may interfere with the seal, in accordance with OSHA regulations
- Stand, walk, and climb ladders and stairs for the duration of the workday
- Ability to travel to company locations to work on storm restoration and heat contingencies
Additional Physical Demands
- The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
