Duties, Responsibilities & Other

    Work with business and shared services units to identify leased real estate needs; evaluate and process real estate adjustment requests.
  • Prepare comprehensive budget sheets and budget approval memos.
  • Support business and administrative units in all aspects of leased real estate transactions and operations.
  • Monitor lease expirations and contractual requirements; coordinate require action throughout company.
  • Review lease drafts, landlord revisions, renewal options and termination clauses in collaboration with legal counsel.
  • Manage the completion of location opening, closing checklists for office terminations.
  • Engage local brokerages to assist with market analyses and site selection.
  • Develop and issue RFPs; negotiate LOIs, including lease terms, concessions and options.
  • Process and provide COIs as necessary.
  • Capture capital expense office specific requests made and forward to Safety officer.
  • Track individual service contracts by office location.
  • Process checks requests for lease transactions.
  • Maintain tracking of approved capital budget.
  • Verify space planning requirements and proposed layouts for alignment with operational or business needs.
  • Develop, distribute and analyze the annual office manager survey questions and resulting data.
  • Establish and maintain budget benchmarks per employee and per square foot to inform annual planning.
  • Lead the coordination process to onboard/offboard real estate:
    • Internal processing, signoff
    • External coordination with utilities, outside vendors, internal partners to move staff/operations
    • Review new/existing leases to identify business terms
    • Summarize business terms for presentations to business and administrative units
    • Draft internal approval memos outlining planned or proposed real estate transactions
    • Report, track, monitor financial costs associated with new office locations, relocations, expansions
    • Facilitate interdepartmental communication
  • Visit various office locations to support the planning, design and execution of leased real estate transactions.
  • Execute the duties of a Leased Real Estate Facilities Manager for the Sparks office only. This includes:
    • Engagement and oversight of all contractors to perform moves, adds and changes to facilities, people and assets within the Sparks office.
    • Coordinate with the building owner to engage and complete building maintenance items and processing of payments for services.
    • Operate HVAC systems control to regulate the building temperatures, comfort levels and energy consumption.
    • Orders supplies and materials needed for repairs and maintenance.
  • Cleans and assists with upkeep of the facilities as needed
  • Other duties as assigned

Qualifications

Education and/or Work Experience Required:

  • Bachelor's degree in Business Administration or a related field
  • 2-5 years of commercial real estate document review
  • 3-5 years of office administration may be considered in lieu of a bachelor's degree

Certificates, licenses, and/or Registration Preferred:

  • Current or past Real Estate License is strongly preferred
