Student Housing is a self-funded, large and complex campus department consisting of 6 housing communities and 3 support units, with more than 300 staff employees, 300-400 student employees and an annual operating budget of $120 million. Student Housing provides housing for approximately 9,000 undergraduates, graduate students and their families in over 250 buildings and approximately 3.3 million sq. ft.

Currently, Student Housing houses 51% of UCI's enrolled students (in conjunction with American Campus Communities, UCI's 3rd party housing partner) with a goal of housing 60% as part of the campus Long Range Development Plan (LRDP). Student Housing also provides maintenance and repair services to student residents.


Your Role on the Team

Under the general supervision of the Associate Director for Residential Learning and Services, the incumbent serves as a primary administrative staff member supporting the Residential Living Service Center. The incumbent will supervise 12 students (Office Assistants) who provide front desk operations at the Residential Living Service Center, maintain and upgrade office equipment and interface with appropriate vendors, and provide management support for 9 professional staff. This position also provides significant financial support for the GFH Residential Life Team through processing of accounting and purchasing paperwork, processing various UCI and Housing forms, completing data entry, maintaining accurate files and databases, and troubleshooting missing, late, or incorrect information. Other duties include maintaining office supply inventory, answering phones, providing back up assignments support and completing special projects as needed. Serves as a member of the GFH Residential Life Team, and supports team development and growth. This position includes heavy client relations with a diverse group of students and staff. Although the primary area for this role will be GFH Residential Living Service Center (Verano Place), the position could be reassigned to another community at some point.


What It Takes to be Successful

Required:

  • Ability to interact with students, an understanding of the needs of undergraduate/graduate students.
  • Skills to compose memos, letters and presentations to be communicated to students and staff using standard business formats.
  • Demonstrate experience developing, using and maintaining office procedures.
  • Ability to maintain confidentiality of records and information.
  • Proficiency in Microsoft Office, particularly Microsoft Excel.
  • Ability to learn new software programs.
  • Skills to maintain organized files.
  • Knowledge of PC hardware and computer peripherals. Skill to troubleshoot system problems. Skill to install and upgrade software. Willingness to learn new applications and systems.
  • Ability to identify areas for process improvement and make recommendations to improve efficiency and/or service level.
  • Ability to communicate and work effectively with students and professional staff.
  • Personal skills to maintain diplomacy, confidentiality, and professional conduct.
  • Skills to organize and prioritize multiple tasks.
  • Demonstrated ability to independently complete detailed tasks.
  • Ability to participate as a team member.
  • High school diploma or equivalent experience
  • 2-3 years office administration experience.

Preferred:

  • Bilingual oral and written communication skills (English and Spanish).
  • Demonstrate experience in using Adobe Acrobat, Illustrator, Photoshop and/or similar software.
  • Working knowledge of the campus computer on-line system, such as the General Ledger Inquiry, the Purchasing and Accounting Link (PAL), and the EQS System. Working knowledge of the PALCard and PALWeb purchasing systems.
  • Experience using the campus data warehouse.
  • Knowledge of accounting systems, procedures and documents for campus and housing.
  • Knowledge of procurement systems, procedures and documents.

Special Conditions:

  • Occasional weekend/evenings during peak times.
  • Must be willing to return to work in case of disaster.
  • Must undergo a DOJ background check including LiveScan fingerprinting.

The expected pay range for this recruitment is $29.40- $33.79 (Hourly).
