Job Summary
Join our Medical Records team and play a critical role in supporting patient care, compliance, and data integrity. Reporting to the EHR Operations Manager, the EHR Specialist II is responsible for accurately processing medical records through retrieval, preparation, scanning, and indexing within the OnBase electronic document management system.
In this role, you will ensure that patient records are complete, properly identified, and securely maintained to support clinical care, regulatory compliance, and legal/audit requirements. This position is ideal for someone who is detail-oriented, organized, and experienced in medical records or health information systems.
What You'll Do
- Retrieve, prepare, scan, and index medical records into the electronic document management system (OnBase)
- Verify patient identification, barcodes, and document accuracy prior to scanning
- Batch, organize, and process high volumes of medical records efficiently and accurately
- Ensure all records meet regulatory, legal, and audit standards
- Maintain strict patient confidentiality in compliance with HIPAA guidelines
- Support document retrieval and record requests as needed
- Collaborate with clinical and administrative staff to ensure accurate record management
- Meet productivity, quality, and turnaround time expectations
What We're Looking For
Education
- High school diploma or equivalent required
- Associate or bachelor's degree in Health Information Technology (AHIMA-accredited program) preferred
Experience
- Minimum of 1 year of general office experience required
- Experience in a medical records department, health information management (HIM), or clinical setting preferred
Licensure/Certification
- Registered Health Information Technician (RHIT) preferred
Key Skills & Competencies
- Strong knowledge of medical terminology, anatomy and physiology, and disease processes
- Experience with electronic health records (EHR) and document management systems
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Familiarity with systems such as Meditech and 3M Encoder preferred
- Understanding of health record documentation standards, including JCAHO and federal/state regulations
- High attention to detail and accuracy in data entry and document processing
- Strong analytical, organizational, and time management skills
- Ability to manage multiple priorities and large volumes of data in a fast-paced environment
- Effective communication and interpersonal skills
- Ability to work independently and collaboratively within a team
- Ability to maintain strict confidentiality and handle sensitive information appropriately
