The Business Services Directorate (BSD) provides high-quality business services to support the Lab's research initiatives by participating in cross-functional teams with a focus on risk mitigation and cost management, which is a critical component to the Lab's success. Led by the Chief Financial Officer, Brookhaven's Business Services Directorate includes the Budget Office, Fiscal Services Division, Procurement & Property Management Division, Chief Financial Office, and the Business Operations Offices. The Directorate manages a broad range of financial activities, including the planning and implementation of the Lab's fiscal matters and its approximately $900 million annual budget.

The Business Services Directorate (BSD) has an opening for an Assistant Business Specialist position within the Business Operations Office supporting the Facilities and Operations Directorate (F&O). This individual will report to the F&O Business Manager.

As a member of the Business Services Directorate - Business Operations Office, the successful candidate is a professional that will perform a wide variety of financial functions, including departmental procurements, contract administration, departmental invoice processing, and property management tasks for the Facilities & Operations (F&O) Directorate.

Essential Duties and Responsibilities:

  • Provide administrative support to the F&O Directorate.

  • Provide procurement support, monitoring, tracking, and oversight for the F&O Directorate.

  • Act as the central point of contact for all F&O procurements and processes.

  • Provide general contract administration support to the F&O Directorate.

  • Process invoices and miscellaneous payments through Accounts Payable and PeopleSoft Financials.

  • Provide back-up and/or short-term support as Property Representative for the Facilities & Operations Directorate, Information Technology Division, the Human Resources Directorate, and any ad hoc property management duties that may arise.

  • Participate in the development of procedural improvements and problem resolution, as needed.

Required Knowledge, Skills, and Abilities:

  • BA or BS degree in a finance/business field or equivalent experience based on 2:1 (experience: college) years.

  • Understanding of standard business functions and procedures (A/P, A/R, Purchase Orders, etc.).

  • Prepare/route web requisitions, change orders, and contract closeout requests for commitments as requested.

  • Knowledge of Microsoft Office products (Office365, Outlook, Excel, Word, PowerPoint, and Teams).

  • Flexible team player with the ability to interact with staff to accomplish objectives and resolve issues.

  • Exercise a high degree of initiative and professional judgment.

  • Ability to establish positive working relationships at all levels.

  • Ability to prioritize and effectively deal with deadlines.

  • Ability to identify and resolve problems within own area of responsibility.

  • Effective oral and written communication skills.

  • Must be self-motivated, resourceful, and organized, taking ownership of all assigned work.

  • Requires the ability to concentrate on accuracy.

Preferred Knowledge, Skills, and Abilities:

  • Interest in science mission of the Laboratory.

  • Knowledge of BNL policies, practices, and procedures.

  • Familiarity with PeopleSoft Financials.

  • Familiarity with Workday Human Resources software.

  • Detailed knowledge and use of Excel and other software programs used as management tools.

  • Creating and generating queries and reports.

  • Experience with SharePoint.

Environmental, Health & Safety Requirements:

  • The ability to work at a computer/keyboard for extended periods is essential.

  • This is a hybrid position requiring 4 days onsite at BNL located in Upton, NY

Brookhaven Laboratory is committed to providing fair, equitable, and competitive compensation. The full salary range for this position is $68,600 - $99,450 / year. Salary offers will be commensurate with the final candidate's qualification, education, and experience and considered with the internal peer group.
