Job DescriptionThe Signature Events Lead is responsible for the planning, coordination, and execution of Signature Events within an assigned region. Assigned Region: Williamson County, Austin, New Braunfels, Central Texas, Offsite Event Locations Statewide.

*This position requires extensive travel across the state*

Signature Events are high-visibility external and internal engagements that elevate TSTC's presence, strengthen relationships with students, community members, industry partners, and elected officials, and reinforce institutional priorities. The Signature Events Lead manages regional event budgets for Signature Events, develops and implements an external space rental strategy with revenue goals, and identifies sponsorship opportunities in collaboration with Industry Relations and the TSTC Foundation. Serving as a regional brand ambassador, this role ensures all events uphold TSTC's brand standards and deliver memorable, mission-aligned experiences.

The mid-point salary range for an experience candidate meeting all requirements is anticipated to be $53-54k annually.

Assigned Region: Williamson County, Austin, New Braunfels, Central Texas, Offsite Event Locations Statewide.

Essential Functions

Event Management
Plan, coordinate, and execute Signature Events and External Relations events across the assigned region, ensuring seamless, high-quality delivery that aligns with TSTC's mission and strategic priorities.

Signature Institutional Events
Serve as the primary point of contact for regionally assigned high-visibility events involving executive leadership. Signature Events include ceremonies, ribbon cuttings, grand openings, groundbreakings, Board of Regents meetings, Foundation board meetings, job fairs, check signings, and events involving elected officials.

Brand Ambassador
Serve as a regional brand ambassador, ensuring all events reflect TSTC brand standards, messaging guidelines, and visual identity to deliver consistent and professional institutional experiences.

Cross-Functional Collaboration
Coordinate with OIT & A/V, Facilities, Police Department, and Campus Services to execute all event logistics, including scheduling, venue arrangements, catering, audiovisual needs, transportation, on-site coordination, and event setup and breakdown.

Vendor and Resource Management
Partner with Business Services to coordinate vendor logistics, secure event resources, and ensure timely, seamless execution of services for Signature Events.

Budget Management
Monitor and track regional Signature Event budgets, forecast needs, review expenditures, and ensure adherence to established parameters while preparing regular financial updates for leadership.

Space Rental Strategy
Develop and implement a comprehensive external space rental strategy for non-instructional event spaces within the region, including pricing, marketing, contracting, and operational procedures to meet established revenue goals.

Strategic Revenue Development
Identify sponsorship opportunities for Signature Events in partnership with Industry Relations and the TSTC Foundation to support revenue-generation and strengthen community engagement.

Graduation Ceremonies
Lead the regional planning and execution of graduation ceremonies, ensuring these events provide high-quality, memorable experiences for students, families, and guests.

Contingency Planning
Develop and implement contingency plans to ensure preparedness for unexpected situations during events, maintaining professionalism and continuity of experience.

Event Analytics and Feedback
Collect and analyze event performance metrics for all Signature Events within the region, preparing post-event reports that summarize outcomes, identify improvements, and provide recommendations for future planning.

Project Management
Coordinate and manage multiple projects concurrently across the region, ensuring effective prioritization, timeliness, and consistency with institutional standards.

Education & Experience

Minimum Qualifications
Associate degree or some college required. Two years of required experience in face-to-face customer service or a combination of one year of leadership and one year of customer service experience. One year of experience in planning events, logistics, or project management. Demonstrated experience in event coordination, planning, and customer-focused service delivery. Strong written and verbal communication skills, with the ability to draft professional communications and prepare reports and presentations.

50-75% of job time is spent off-site from the home campus.

Preferred Qualifications
Bachelor's degree preferred. Three years of preferred experience in face-to-face customer service or a combination of two years of leadership and two years of customer service experience. Two years of experience planning events, logistics, or project management. Demonstrated skill in project coordination, prioritization, organizational effectiveness, and problem-solving.

Relevant experience may be considered in lieu of a degree, except in cases where a specific degree is required to meet accreditation standards, licensure requirements, or other legislative or regulatory obligations. This includes, but is not limited to, certain faculty positions and staff roles governed by state or federal educational mandates.
