Then you are in the right place...start the application process today Summary of Position Functions The Construction Project Coordinator is responsible for supporting project execution through comprehensive document control, contract compliance, and coordination of subcontractor and vendor activities. This role ensures all contractual requirements, financial documentation, and project records are accurate, complete, and maintained throughout the project lifecycle-from contract initiation through closeout. The Project Coordinator works closely with Project Accountants, Management, subcontractors, and regional teams to maintain compliance, mitigate risk, and support timely project delivery Essential Duties and Responsibilities
- Maintain and organize project documentation, including electronic and hard copy files, from contract award through project closeout.
- Ensure all final project documentation is complete, accurate, and properly archived in company systems (e.g., Project Sight).
- Track, log, and file executed subcontracts, change orders, and related project documentation.
- Provide ongoing project status updates and documentation coordination with Project Accountants and internal teams.
- Manage subcontractor contractual compliance across assigned projects, ensuring adherence to company standards.
- Review and track required subcontractor documentation for accuracy, including:
- Certificates of Insurance (coverage limits, expirations, endorsements, and required language).
- Payment and Performance Bonds (accuracy of amounts, language, and obligee).
- Master Subcontract Agreements (MSAs), project-specific contracts, and affidavits.
- I-9 documentation and other compliance requirements.
- Coordinate with management on contract commitments, redlines, and terms & conditions review.
- Monitor contractual compliance prior to payment issuance, including review of contractor billing reports.
- Respond to subcontractor and vendor preliminary notices.
- Prepare, enter, and issue subcontract change orders, including scope details, cost coding, and quantities, using project management/accounting software (e.g., Viewpoint Vista).
- Generate and issue material purchase orders; track execution, returned signatures, and revisions.
- Coordinate with Project Accountants for posting and financial processing of change orders, and purchase orders.
- Follow up with subcontractors and vendors to ensure timely execution and compliance.
- Track, collect, and manage certified payroll submissions for subcontractors and lower-tier subcontractors, ensuring weekly reporting compliance.
- Maintain accurate records of certified payroll documentation and upload to project systems.
- Submit certified payroll reports to clients as required.
- Manage and compile final certified payroll documentation at project closeout.
- Ensure all subcontractors' final compliance documentation is received and documented, including:
- Final certified payroll reports and confirmations.
- Prevailing wage affidavits.
- Subcontractor and lower-tier subcontractor listings.
- Coordinate issuance of final certified payroll and required documentation to clients.
- Support completion of all contractual and administrative closeout requirements.
- Partner with Project Accountants, Management and regional teams to support project success.
- Report to the Project Accounting Manager and provide ongoing support to Regional Project Accountants.
- Perform additional administrative and project coordination duties as needed.
Knowledge, Skills and Abilities
Educational/Certification and Experience Requirement
- 2+ years of experience in construction project coordination, contract administration, or project support preferred.
Work environment
- Primarily office-based with coordination across multiple projects and teams
- May require occasional interaction with field personnel and job sites
Travel required
- May be required to attend jobsite meetings, conduct jobsite tours and perform other jobsite functions.
